Role Overview:Signant Health is seeking a highly organized and detail-oriented Executive Assistant to support our Chief Operations Officer (COO) and Chief Commercial Officer (CCO). This hybrid position, based out of our Blue Bell office, requires a proactive and professional individual capable of managing diverse responsibilities with precision and efficiency.Key Accountabilities:• Executive Support: Provide comprehensive administrative support to senior executives, ensuring seamless daily operations.• Communication Management: Handle high-level communications and correspondence, maintaining professionalism and discretion.• Document Preparation: Create and manage documents and presentations for executive meetings, ensuring accuracy and quality.• Calendar Coordination: Efficiently manage complex schedules for multiple C-level executives, optimizing their time.• Meeting Coordination: Organize and facilitate meetings and conference calls, ensuring smooth logistics and execution.• Event Planning: Plan and coordinate team meetings and events, both onsite and offsite.• Administrative Support: Record meeting minutes, track action items, and manage guest invitations with attention to detail.• Travel Arrangements: Coordinate comprehensive travel itineraries, ensuring all details are meticulously arranged.• Expense Management: Prepare and manage expense reports for C-level executives and team members.• Team Collaboration: Collaborate with administrative staff, providing backup support and contributing to departmental initiatives.• Problem-Solving: Anticipate needs and address urgent issues with flexibility and responsiveness.• Availability: Be available to address urgent matters as they arise, even outside regular working hours.Knowledge, Skills, and Attributes:• Organizational Excellence: Demonstrated ability to prioritize and manage multiple tasks with a high level of attention to detail.• Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Concur; ability to quickly learn new software.• Autonomy: Capable of working independently with minimal supervision, effectively managing time and meeting deadlines.• Effective Communication: Strong written and verbal communication skills, with the ability to present information clearly and professionally.• Confidentiality: Maintain the highest level of discretion and integrity in handling sensitive information.• Travel Flexibility: Willingness to travel as needed to our Blue Bell site.Education & Experience:• Experience: A minimum of 4 years of experience in executive-level support or a related field, with experience in calendar management, travel coordination, and project management.
