Summary: The Applications Specialist, Intermediate, will support the internal operations of the company including enterprise services and general IT. A key responsibility of this role will include managing applications such as, but not limited to, NetSuite, Google Workspace, Atlassian, GitLab, and Office365. Additionally, Smile Digital Health is a fully-remote and cloud-based company which presents unique challenges and opportunities for its staff. As such, this role will provide Tier 1 and Tier 2 support to employees and the coordination of IT resources both internal and external to achieve the desired business objectives.
This position will require 1 day per week at our Head Office location.
Responsibilities- Act as the primary support for NetSuite and provide necessary expertise to internal resources including, but not limited to, engaging external support as needed and overseeing deliverables as the application liaison.
- Provide support for Google Workspace, Office365, Atlassian and GitLab.
- Oversee and administer all configurations, integrations and maintenance of NetSuite to other critical business systems including the design, documentation, building, testing, deployment, and maintenance of enhancements to NetSuite (custom objects, validation rules, page layouts, workflows, and reports) based on evolving business requirements and industry best practices.
- Manage intake, prioritization, design, and implementation of NetSuite administration tasks.
- Ensure documentation and training content, for Netsuite, Google Workspace, Atlassian, and Office365, is regularly updated and maintained for employees.
- Collaborate with cross-functional resources to understand their processes and recommend process improvements. This includes working with key module owners such as Finance and Delivery Services to optimize Netsuite utilization including but not limited to:
- Capturing project and financial vitals and publish it using searches, reports, dashboards, Analytics, and/or custom pages.
- Support the creation and setup of custom views & pages for different roles.
- Build KPI measures to monitor effectiveness.
- Setup triggers & workflows.
- Capture resourcing information and publish it using searches, reports, dashboards, Analytics, and/or custom pages.
- Create, publish and support reports & queries.
- Day-to-day monitoring of HR system integration.
- Coordination with ACS.
- Support integration efforts of the organization between enterprise systems.
- Provide IT support including access management, device support and general application support as deemed necessary by the IT manager.
- Support change management activities to address regulatory and certification requirements of the organization (e.g. HITRUST, ISO 13485, etc).
- Maintain the organization's asset inventory.
- Contribute to the organization's Business Continuity Planning requirements including documentation, testing and coordination of resources.
- Comply with the privacy, security and confidentiality policies.
- Hold all confidential information in trust and strict confidence and ensure that it shall be used only for the purposes required to fulfill.
Requirements- Minimum 5 years in applications support and administration including providing support services for a large and complex organization.
- Minimum of 3 years of NetSuite Administration or Consulting experience preferred.
- A degree or diploma in Information Technology, Information Systems or relevant education in a post-secondary institution.
- Demonstrated experience with Google Workspace, Atlassian, Slack and GitLab.
- Advanced MS Office 365 skills to support Intune mobile device management.
- Outstanding customer service and written and verbal communication skills.
- Demonstrated ability to solve technical issues and troubleshoot with creative solutions.
- Strong functional knowledge of core business processes and NetSuite ERP workflow.
- Strong experience in a business analysis role with experience in designing processes and workflows for internal departments.
- Self-motivated, detail-oriented, positive, collaborative, and organized individual with the ability to maintain flexibility and take ownership of projects and processes.
- Industry certifications including ITIL, CompTIA Network+, highly desired.
$70,000 - $80,000 a year
