Learn more at SpecialOlympics.org.Position OverviewThe Manager of Operations & Engagement, Office of the Chairman, is a key partner to Special Olympics International (SOI) Chief of Staff (COS) in focusing on the highest priority strategic initiatives to advance the Special Olympics movement’s mission. This position provides operational and administrative support and manages constituent engagement in the Office of the Chairman. The Manager must have exceptional writing skills to succeed in this position and operate in a professional environment that is forward-thinking, collaborative, global, inclusive, diverse, and single-mindedly focused on delivering results. The manager collaborates with staff across the organization to support ongoing coordination of team operations such as staff meetings, events, and other scheduling needs. The manager organizes meeting agendas with internal departments and external partners.Primary Responsibilities:• Responsible for the essential day-to-day operations of the Chairman’s Office.• Manages the office's operations by scheduling and prioritizing meetings and generally organizes the work that positions the organization as a global thought leader.• Assists the Chief of Staff in effectively managing a portfolio of major funders, prospective supporters, thought leaders, and key partners.• Completes the Chief of Staff’s expense reports and other administrative forms and documents.• Assists the Chief of Staff in interacting with internal and external stakeholders, specifically regarding agenda setting, note-taking, and follow-up for calls and meetings.• Coordinates and maintains ongoing communication support between SOI Headquarters staff, regional offices, consultants, and other stakeholders through scheduling and organizing meetings and events• Responsible for communications from the Office of the Chairman.• Manages Chairman’s Office constituent database, files, and documents.• Supports the Chief of Staff in preparing for events and meetings, including preparing presentation materials, background research, and documents.• Ensures timesheets and expense reports are submitted on time.• Drafts correspondences on behalf of the Chief of Staff.• Supports Chairman’s Office internal and external communication efforts.• Manages the Chief of Staff’s travel, including logistical requirements (flight, hotel, transportation)• Additional duties as assigned.Qualifications:• Bachelor’s degree in related field or education/experience equivalency• Minimum 5+ years in administrative or professional assistant role.• Previous government or non-profit experience a plus.• Superior organizational skills with strong attention to detail.• Exceptional time management skills and ability to complete tasks promptly, efficiently, and independently.• Ability to manage competing demands including the judgement necessary to prioritize tasks in a fast-paced environment.• Excellent interpersonal skills and ability to work well in a team environment.• Fluency with current workplace technology, including latest developments in remote collaborative technology.• Resourceful, tenacious, and proactive, demonstrating ability to think ahead.• Superb writing skills including drafting and writing letters as well as editing and proof-reading documents.• Advanced proficiency in Microsoft Word, Excel, PowerPoint, and Outlook• Strong organizational skills and high level of attention to detail• Passionate about sports, young people and working in schools/education.• Strong personal time management and prioritization skills: ability to manage multiple projects and priorities simultaneously.Travel Requirements:The Manager will attend Board meetings and select Special Olympics events and gatherings both domestically and internationally.
