Responsibilities

The Sr. Administrative Assistant oversees a variety of executive office functions requiring independent judgment and interacting at all levels of the organization including C-Suite and National Executives. Provides support to Vice President, Director and a Senior Leader and responsibilities involve a wide range of complex, confidential, and administrative duties.

  • Greets and directs all visitors, vendors, physicians and staff with a friendly and professional demeanor.
  • Manages Google calendar or multiple Google calendars, handles travel arrangements as necessary.
  • Arranges, participates, and implement conferences and meetings through the preparation of agendas, packets, documents and general record keeping.
  • Provide communication to Board members and other team members.
  • Office administrative support, creates, edits, and formats letters, reports, spreadsheets and PowerPoint presentations.
  • Accountable for office operations; identifies problems, develop and implement solutions; plans, organizes and prioritizes assignments within the office.
  • Demonstrates efficiency in scheduling, creates complex documents, exercises discretion and independent judgment in matters of importance, and ensures the general operations of the office are functioning to maximum capacity.
  • Prepares correspondence and other material requiring considerable judgment and knowledge of health system operations; files, retrieves, and coordinates all incoming and outgoing correspondence and necessary paperwork related to the overall management of the assigned executive area.
  • Represents Vice President as principle contact for and liaison with internal and external stakeholders, may require coordinating travel and entertainment functions for executives, board or facility as well.
  • Provides supervision and general project management for special requests by Vice President to ensure appropriate follow through actions.
  • May conduct limited research for information.

Qualifications

Education and Experience required:
  • High School Diploma/GED
  • Three (3) years previous administrative experience supporting an executive.
  • Preferred: Healthcare and/or Non-profit experience
  • Some college

Knowledge, Skills and Abilities:
  • Demonstrated ability to set and maintain multiple priorities in an environment with shifting priorities, while providing accurate deliverables in a timely fashion.
  • Must be able to positively interact with a very large constituency of high visibility and importance to the decision making process.
  • Must be self-motivated, and able to take ownership of projects/assignment.
  • Must be a team player.
  • Must have excellent customer service skills with outstanding follow-up.
  • Strong interpersonal, verbal and writing skills.
  • Must have exceptional proficiency in composing written communications, expert proofreading, and editing skills.
  • Ability to create and revise Google and Microsoft documents.
  • Advanced Google Suites product competency.

Pay Range

$22.79 - $31.33 /hour
