The opportunity

This position is responsible for performing various administrative activities supporting general business operations in multiple departments such as maintaining information and files, scheduling and coordinating meeting related activities, managing correspondence and communications, creating and modifying presentations, organizing org charts and staffing charts, critical operational purchase orders, etc.

How you’ll spend your day

  • Responsible for tracking information and preparing reports of department metrics, creating and modifying presentations, and providing other relevant information in a timely manner.
  • Responsible for coordinating travel and processing expense reports as requested.
  • Responsible for creating purchase orders, placing orders, tracking receipt of goods and submitting invoices for payment as needed.
  • Responsible for routine clerical activities such as ordering and maintaining stock of necessary supplies (office, equipment, etc.), ordering meals for meetings, creating mailboxes, coordinating schedules and meetings, filing, keeping common areas organized, etc.
  • Responsible for assisting with the coordination and execution of site activities and events.
  • Responsible for working with outside vendors when placing orders and arranging for services, maintaining and updating processes and providing information to meet the needs of the business.
  • Responsible for completing all training requirements and maintaining compliance with all assignments.
  • Responsible for maintaining work areas and performing job functions in a safe and efficient manner in accordance with company policies and procedures, Good Manufacturing Practices (cGMP’s), Standard Operating Procedures (SOP’s) and Batch Record instructions.

Your experience and qualifications

  • Requires High School Diploma or equivalent with a minimum of 7 years relevant experience performing administrative functions.
  • Requires experience supporting multiple departments, personnel and functional areas.
Skills/Knowledge/Abilities:
  • Excellent computer proficiency with comprehensive working knowledge of MS Office products (Word, Excel and Powerpoint in particular) and computer relational databases.
  • Ability to operate office related equipment such as phone, copier, fax, scanner, etc.
  • Detail oriented with ability to identify errors and/or inconsistencies while performing tasks.
  • Self-directed with ability to organize and prioritize multiple assignments under general direction.
  • Interact positively and collaborate with co-workers and management.
  • Communicate effectively with written and oral communication skills.
  • Maintain confidentiality of sensitive information.
