Sr. Administrative Assistant

We’re looking for an Executive Administrative Assistant in Raleigh, NC to join us in fulfilling our mission, while utilizing our values of excellence, improvement and connection. In this role, your principal focus will be supporting the company’s Board of Directors and several C-Level executives (including the EVP, General Counsel & Corporate Secretary) with communication, travel arrangements, expense management, event planning and logistics, and calendaring. Ideal candidates will exhibit a high level of professionalism and discretion, bring a collaborative orientation, superb communication skills, good judgment, impeccable time management and organization abilities, and be a tech-savvy, self-starter with a great attention to detail.

YOUR RESPONSIBILITIES

  • Board of Directors and executive management support
  • Calendar management
  • Room scheduling
  • Travel, lodging and meal arrangements
  • Event/meeting planning, logistics, support and oversight, whether in-person or virtual, including interaction with and identification of venues, caterers, restaurants and other vendors
  • Onsite oversight for Board and Committee meetings and events, including those that take place outside of standard work hours (during the regular work week), to support Board and management, as needed, and provide logistical oversight of applicable vendors
  • Proactively manage communication and information flow for assigned executives
  • Provide formatting and other assistance with document generation
  • Manage purchase requisitions, accounts payable submissions/research and payments/reconciliation for applicable department(s)
  • Work with law firms to on-board into our billing system and gather accruals
  • Purchasing necessary office supplies, business cards, etc.
  • Travel and Expense processing for Board and executives
  • Process incoming/outgoing mail for executives
  • Partner closely with other Executive Administrative Assistants, providing back up and/or support on phone coverage and other daily activities
  • Manage other special projects and assignments, as needed

YOUR QUALIFICATIONS

  • Minimum of 5+ years of relevant experience as an executive assistant, preferably in a fast-paced corporate setting
  • Strong oral and written communication skills
  • Ability to exhibit the highest level of integrity, ensuring security of confidential information with discretion
  • Proactive and professional, able to convey confidence and demonstrate proven good judgment and creative problem solving skills
  • Comfortable working directly with Board members and senior internal stakeholders
  • Extremely high level of attention to detail and follow-up skills
  • Superior organizational skills with strong multi-tasking and prioritization abilities
  • Exceptional PowerPoint, Word and Excel skills, as well as Zoom, Teams, etc.
  • Ability to be extremely adaptable and flexible
  • Intellectually curious and looking for a challenge
  • Ability to work standard hours between 8 am to 5:00 pm, Monday-Friday, and willing to work overtime, as needed, to support Board-related activities and on rare occasions when circumstances require

NICE TO HAVE

  • Previous experience in a financial services company
  • Previous experience supporting an external Board of Directors
