Your best is waiting to be discovered.Day - 08 Hour (United States of America)This is a Stanford Health Care job.A Brief OverviewAssists the Director of Operational Excellence in planning, organizing, directing and managing operational (administrative, financial and staffing) support within Facilities, Infrastructure & Safety (FIS) business unit. With substantial responsibility for independent judgement in staffing, coordinating, training, assigning work, and monitoring Administrative Assistants and/or Project Coordinator staff. This position is responsible for orchestrating the effective and efficient accomplishment of critical activities through others' performance and driving resolution of complex administrative problems by applying knowledge of policies, procedures and standard work to implement sustainable solutions.LocationsStanford Health CareWhat you will do• Assist Director of Operational Excellence in supporting daily operations of Facilities, Infrastructure & Safety• Supervise and provide direction to the Operations Team of Program/Project Coordinators and Administrative Assistants to ensure operational excellence and excellent customer service• Address operational issues and concerns through cross-functional problem solving utilizing LEAN methodologies• Educate and drive competency across the operations team on best practices, company policies and service standards• Maintain operational standards and provides leadership around standard work and processes to drive accountability across Operations Team• Continuously evaluates operational procedures and implementation of improvements to align with Stanford Health Care• Assist in interviewing, recruiting, training, performance evaluation, promotion and termination activities• Responsible for maintaining a clean, safe and organized office space, including standard office supplies• Independently manages small scale projects including planning, development of project schedule, tracking of action items and escalations• Provides highly reliable, confidential, and sensitive administrative support to the Executive Director of Facilities, Infrastructure & Safety through maintaining calendar, triaging incoming calls/correspondence, and prioritizing requests• Ensure strong relationships and reliable service with all stakeholders through effective interactions and communication• Supports initiatives and programs in terms of organization, documentation, and logistic coordination of key assignments• Maintains accurate records and directory for the business unit and all staff• Utilizes strong organizational skills to manage multiple tasks and rapidly changing priorities.• Coordinates standard business unit meetings and events including scheduling, logistics, coordinating audio/visual needs and handouts, ordering food and communicating with staff• Maintains the confidentiality of the business unit at all times both inside and outside the work place.• Provides leadership necessary to maintain a motivated, productive, and highly skilled team through open communication and collaborationEducation Qualifications• Job requires a Bachelor’s Degree in a work-related discipline/field from an accredited college or university. Relevant experience in lieu of degree may be considered.
