We also safeguard individuals and businesses against fraud.We are seeking an energetic, forward-thinking, and passionate team player to join our Human Resources team. The Human Resources Office comprises of dedicated professionals who handle a comprehensive range of support functions to fulfill the business requirements of the NC Secretary of State Office (NC SOS). In this role, you will serve as the Human Resources Assistant and will:• Review agency time entries to ensure adherence to statutory mandates established by the Office of the State Controller, Department of Labor, Internal Revenue Service, etc.;• Perform monthly audits on agency time entries, ensuring precise recording of all employee worked hours, and evaluate any instances of overtime entries;• Research, audit, interpret, and resolve issues related to time entries, leave quotas, and premium eligibilities that impact payroll;• Manage and maintain human resources files, ensuring regulatory compliance;• Fulfill the role of I-9 and E-Verify Administrator, ensuring prompt completion of I-9 forms for new employees and their entry into the E-Verify system;• Execute various routine administrative tasks promptly and with confidentiality;• Update the agency Org chart, staff directory, issue monthly longevity letters, and provide backup parking coordinator;• Serve as Coordinator for the Service Awards, Holiday Party, and Employee of the Year Programs;• Coordinator for Onboarding and Off-boarding: Develop and manage all forms, procedures, and timelines for facilitating the onboarding of new hires and the off-boarding of departing employees. Responsibilities include organizing New Employee Orientations, collaborating with HR staff on associated processes, conducting Exit Interviews, procuring retirement certificates, and compiling information for departmental newsletter announcements regarding new hires, promotions, and separations;• Serve as the Wellness Coordinator.• Demonstrated organizational skills, attention to detail, monitoring/reporting progress, and ensuring timely completion of work;• An unwavering commitment to providing excellent customer service;• Demonstrated application of effective listening and communication skills with the ability to gather, clarify, interpret, and apply information to achieve goals, including knowledge of Department jobs, organizational relationships, program services, policies, and procedures;• Working knowledge of and ability to use correct grammar, spelling, and punctuation in individual and mass communications and advertising methods;• Ability to adjust language, terminology and communication style to meet needs of a diverse population of internal and external customers;• Strong computer skills in MS Office applications, including Word, PowerPoint and Excel• Basic knowledge of federal and state laws, and state policies, procedures and practices that impact HR management;• Ability to handle confidential matters with tact and discretion;• Ability to exercise proper judgment in analyzing situations and making decisions within area of responsibility.MANAGEMENT PREFERERNCES:• Experience with the State’s Integrated HR/Payroll system and processes;• Working knowledge of State HR policies and procedures, with an emphasis on time administration;• Experience on-boarding and off-boarding employees.Associate’s degree, typically in Human Resources or relevant field from an appropriately accredited institution and 1 year of experience required; or 2 years of progressive experience in Human Resources; or equivalent combination or education and experience.To apply for this position, please click the "Apply" link on the Government Jobs website or visit Job Opportunities with the Secretary of State to complete an online application.Applications that include "see attached" or rely solely on resumes instead of completing the formal application's education and work experience sections will be considered incomplete and ineligible for consideration for the vacancy.
