Position Overview

The Dole Institute of Politics hosts a variety of programs during the academic year, such as political discussions, interview sessions, and roundtable discussions. The Dole Institute of Politics’ Student Advisory Board (SAB) is a way for dedicated students to get involved and volunteer their time and energy. It is a group of students that are interested in politics, public service, and leadership, and take part in volunteer, educational, and social events as well as monthly meetings.

We are currently hiring one Events Student Assistant.

The Events Student Assistant assists with execution of most evening events throughout the semester with set-up and logistics of events. Serving as student program lead for the majority of programs, the Events Student Assistant coordinates and organizes volunteers and student workers to help out with both evening and afternoon programming.

It's required to be a current, active SAB member to apply for this position.

Job Description

  • Recruit and schedule Dole Institute Student Advisory Board members to volunteer for evening events/programs/etc.
  • Orient volunteers with their duties at the program and choose volunteer to do student introduction.
  • Reach out to student workers for their availability at the beginning of the semester and schedule 3-4 student workers to work at each event. Also, do so when new events are added.
  • Prepare slides about upcoming events/volunteer opportunities for monthly SAB meeting.
  • Promote evening/afternoon programming in SAB GroupMe.
  • Design program handouts using InDesign and get the handout approved by the Director and Director of Programs and Student Affairs.
  • Identify potential SAB members for pre-event dinners each semester based off involvement and who has not yet been previously invited.
  • Send a reminder email to SAB volunteers and dinner guests ahead of the program to get confirmation of attendance.
  • Ahead of each program, print pre-approved program handouts, create entrance sign, print volunteer name tags, print dinner-guest name tents, event sign in sheets, create reserved seating tents, and assemble goodie bag for guests.
  • During program, check in dinner guests, take flag photo, make sure media release is signed, display entrance sign, print student introduction, record headcount, work Q&A, and assist with light cleanup. Also, monitor dolequestions@ku.edu as needed during Q&A.
  • Collect student sign-in sheets from all events and give the community sign-in sheets to the Development Specialist.
  • Manage records of event attendance on the G-drive, including SAB attendance and volunteer numbers using headcounts and sign-in sheets.
  • Work with other Dole Institute staff using SAB members statistics to determine awards for end of the year SAB Banquet.
  • Create/edit the run-of-show when needed.
  • Schedule and attend weekly marketing meetings with other student workers.
  • Assist other student workers with their respective events.
  • Assist Dole Institute staff in various administrative duties as assigned, including: spreadsheet preparation, mailings, and other duties related to supporting major events during the academic year.

Required Qualifications

  • Served at least one semester and be a member in good standing on the Dole Institute Student Advisory Board.
  • Current enrollment of at least 6 hours in an undergraduate or graduate program at the University of Kansas during the academic year.
  • Experience with Microsoft Office and Outlook programs.
  • Excellent oral and written communication skills as evidenced by coursework.
  • Availability to work evenings on some Tuesdays, Wednesdays, and/or Thursdays.

Preferred Qualifications

Past participation in Dole Institute events or programs.
Experience with InDesign and/or other Adobe Creative Cloud computer programs.
Experience in event planning.
Eligible for federal work study.

Work Schedule

8-14 hours per week, Monday-Friday, including both daytime office hours (8-5), meetings, and evening events. Availability for some evening events Tuesday, Wednesday, and Thursday is required.
