SupplyHouse.com, an innovative e-commerce heating, plumbing, and HVAC supply company, is searching for a Compliance & Immigration Specialist to join our Human Resources Team! This individual will be responsible for monitoring, implementing, and certifying regulatory HR compliance policies, practices, and procedures. They will regularly provide compliance advice as well as perform internal audits on a wide variety of employment and benefits-related systems and processes to ensure consistency and data requirements are being followed appropriately. Additionally, they will manage the employee sponsorship program for visa and green card candidates as well as support our Employer of Record (EOR) vendor for international team members.
This is a remote-based role within select states in the United States. At this time, we are only able to employ those located in the following states: Arizona, Delaware, Florida, Georgia, Nevada, New Jersey, New York, North Carolina, Ohio, Rhode Island, South Carolina, Tennessee, Texas, Virginia, Washington, and Wisconsin
This position will require travel to our NY office headquarters up to three times per year for internal meetings and team-building activities. The cost of travel for employees out of the area will be covered by the company. Additionally, our offices are always available for staff to use as much as desired.
A company laptop and other necessary equipment will be provided along with a $250 stipend for your work from home space.

Schedule: Standard business hours are Monday - Friday, 8:00 a.m. - 5:00 p.m. ET. However, we provide flexibility based on local time zones and our Flex-Time policy.
Salary: $60,000 - $70,000 (Annually)
Compliance Responsibilities:
- Develop and maintain HR Compliance processes and policies
- Manage the workers compensation vendor relationship, analyze data, trends, best practices and suggest improvements to manage growing costs, and act as workers compensation program manager and partner with on-site fulfillment HR teams in executing an effective program
- Act as the subject matter expert and partner with Human Resources, Fulfillment, Customer Service, and Corporate teams in areas of new hire requirements (i.e., I-9, work authorizations, immigration, etc.), employee relations and investigations, ADA accommodations, workers compensation, employment background checks, reasonable suspicion drug testing, etc.
- Conduct internal audits to identify compliance issues that require follow-up or investigations
- Maintain company handbook, state supplements, and standalone policies, and act as the subject matter expert when questions arise
- Conduct annual handbook review and update policies as necessary
- Manage the labor law subscription and notice updates across the company
- Coordinate compliance trainings in partnership with L&D peer and Fulfillment HR, ensuring company-wide completion of annual Harassment Prevention Training
- Partner with L&D peer and Fulfillment HR in selection, development, and execution of Leadership Compliance Training to establish best practices, streamline processes, and mitigate risk
- Manage relationships with external counsel
- Partner with stakeholders on key reporting and analysis needs, including EEOC reporting
- Stay current on state and local employment laws, regulations, and legislative developments in areas such as EEO, employment, and labor laws
- Advise HR and Management regarding compliance with existing state and federal laws and new/pending legislation relating to Compensation, HR, Payroll, and Benefits
Immigration Responsibilities:
- Manage the Employer of Record (EOR) vendor relationship and international employees throughout the employee lifecycle
- Manage visa requests, consulting with candidates and future employees on visa and immigration processing steps and ensure compliance with HR policies
- Partner with external counsel to ensure compliance with federal regulations and represent HR on immigration related strategies
- Interpret and/or provide education on HR immigration policies, procedures, and programs
- Provide a high-quality experience for employees during the full immigration process
- Manage day-to-day communications among candidates, employees, managers, internal stakeholders, external counsel, and/or vendors for the Immigration programs
- Track visa case details and monitor expiration dates
- Initiate visas for new hires/amendments with outside immigration counsel
- Coordinate the internal process for permanent residency requirements and ensure immigration compliance requirements are followed and documented
- Post and remove required DOL, advertising, and PERM postings
- Prepare employment letters and U.S. invitation letters for employees
- Provide employees with list of required documents/information for visa appointments and international travel
- Maintain awareness of legislation that impacts the immigration process
- Collaborate in the design, development, communication, and training of the visa program
- Ensure immigration data is accurately maintained and advise on immigration compliance and audits
- Evaluate, recommend, and implement immigration improvement plans and changes to the immigration process
- Participate in special projects and perform other duties as assigned
Requirements:
- Bachelor’s degree (required) or advanced degree (preferred) in Human Resources, Business Administration, or another related field
- 3+ years of experience in HR Compliance
- 2+ years of experience with employee visa and green card sponsorship
- Experience working in a corporate law department, law firm, employment law, and/or paralegal certification (preferred)
- Superior interpersonal skills and professional demeanor
- Comfortable handling sensitive and confidential information
- Strong attention to detail, organizational, and problem-solving skills
- Ability to multi-task and shift direction easily
- Excellent verbal and written communication skills
- Ability to juggle tasks and meet deadlines in a fast-paced environment
- Resourceful self-starter who can work independently while understanding the importance of teamwork
- Strong proficiency with Microsoft Office applications including Excel
