The temporary employee will assist the Resident Coordinators in their support of the program leadership and in the management of the residency program. Responsibilities include recruitment, event coordination, database management, faculty and resident communication, budget reconciliations, purchasing verifications, scheduling, collecting evaluations from internal and external faculty, and interacting with residents, specialty departments, outside institutions, and the Graduate Medical Education office.
· Attend required meetings and take minutes
· Organize training verifications
· Schedule meetings with minutes completed prior to next meeting for review by program director
· Assist in the preparation of all verification forms when received
· Assist in ensuring that all licenses are up to date and all forms completed by due dates
· Assist in ensuring all documents are completed and ACGME standards/requirements are in line and met
· Assist in organizing application screening process and send out invitations for interviewing
· Order food, make packets, process purchase verifications, prepare hosting forms, prepare mailings
· Assist in the organization, coordination and execution of wellness events, retreats, recruitment interviews, meetings, trainings, didactics, grand rounds, orientation, graduation and other program functions
· Assist the Residency Coordinator in purchasing items for events by procuring items, preparing the hosting form, and reconciling the purchases in the system
· Assist in preparing for site visits
· Distribute, collect, and report surveys and evaluations
· Maintain and create files, scanning, shredding, copying, and filing
· Other duties as assigned
· Manage Dean’s Office general email account
· Assist with planning department events
· Maintains and updates department resources and tools such as employee lists, phone lists, organizational charts and other departmental information
· Assists with and/or coordinates basic maintenance of all office equipment including computers, phones, scanners, printers, and copiers. Ensures the office equipment in the facility is in working condition
· Assist in financial or budget endeavors and the preparation of reports for analysis or reconciliation.
· May assist in the development of company-wide policies and procedures to establish effective processes and streamline workflows
· All other duties as needed
Required Qualifications and experience:
· 3+ years of experience in a senior-level administrative position
· Intermediate/advanced computer skills to include Microsoft Office Excel, Word and PowerPoint Adobe
· Intermediate/advanced experience with Google (Gmail, Calendar, Drive and Docs)
· Must have a strong command of the English language (oral and written), spelling, and grammar
· Detail oriented and comfortable working in a fast paced environment
· Superior organization skills and dedication to completing projects in a timely manner
· Must be able to work proficiently with deadlines and disciplined to work without constant guidance and supervision.
· Strong problem solver and analytical thinker
· Bachelor’s degree preferred
