JOB SUMMARY:

The Temporary Operations Clerk performs functions to support the Operations Department, including mail and facility services. Additionally, the Operations Clerk is responsible for mailroom services including sorting and distribution of incoming mail and preparation of outgoing mail and messenger services.

*6 month temporary assignment to start ASAP. Schedule is Monday - Friday 11:00AM-7:00PM.

ESSENTIAL FUNCTIONS:

  • Work with other Facility personnel in responding to work orders in timely fashion and following up accordingly.
  • Assist with moving personal and confidential boxes, library materials, and minor office equipment.
  • Help support Conference Services with room set-up and break-down, as necessary.
  • Sort and distribute incoming mail from U.S. post office and other courier services.
  • Utilize PS|Ship system for scanning of incoming packages and office deliveries.
  • Assist in PS|Ship handheld maintenance.
  • Comply with department record keeping.
  • Identify or confirm proper client matter assignment to mailings.
  • Deliver mail including packages and interoffice mail.
  • Collect outgoing mail, prepare for mailing, and affix postage as applicable.
  • Make postal office runs as needed.
  • Monitor and maintain office supplies, including stocking of paper at copiers and printers at workstations. Prepare visitor offices as necessary.

OTHER RESPONSIBILITIES:

  • Cross-trains in other Operations department responsibilities to ensure responsibilities are covered when teammates are out.
  • Performs other work-related duties as assigned.

EDUCATION, EXPERIENCE AND SKILLS REQUIRED:

  • High School Diploma.
  • Minimum of one year of office experience.
  • Maintain strict confidentiality of the firm's internal and personnel affairs.
  • A proactive, self-starter, with attention to details including follow through and follow up of tasks.
  • Excellent communication skills including ability to work in a collaborative team environment.
  • Must be customer service driven and interact diplomatically with internal and external clients.
  • Ability to work both independently or under specific direction.
  • Must be flexible and able to work under tight deadlines, handle multiple tasks, and respond quickly to changing priorities.
  • Reliable and punctual.
  • Ability to move freely within the work place.
  • Ability to lift at least 40 pounds.
  • Use common tools as necessary.

NY Salary Information

The anticipated pay for this temporary role is $22.00 per hour, which represents our good faith and reasonable estimate of the starting bill rate at the time of posting. The actual offered rate for this position will be determined based on job-related, non-discriminatory factors, including qualifications and experience, geographic location, external market data and consideration of internal equity.
