Summary:
The Digital Events Manager will lead the planning and execution of virtual, hybrid, and occasional in-person events from concept through completion. The Digital Events Manager will help programs/departments define strategy and goals, manage vendors, and seek out new technologies and strategies to help The Carter Center streamline event planning, optimize production values, and maximize participant engagement.

FORMAL JOB DESCRIPTION:
  • The Digital Events Manager will lead the planning and execution of virtual, hybrid, and occasional in-person events from concept through completion.
  • The Digital Events Manager will help programs/departments define strategy and goals, manage vendors, and seek out new technologies and strategies to help The Carter Center streamline event planning, optimize production values, and maximize participant engagement. Note: Position will require some early-morning, late-night and weekend hours.
  • Serve as primary project manager for virtual and hybrid public events and engage internal staff in collaboration and event support.
  • Coordinate with Events, Communications, IT, Development, and outside vendors to design and execute events that meet the needs of TCC.
  • Oversee master organizational virtual meeting calendar to ensure transparency of events schedule and build in lead time for planning and promotion.
  • Work with stakeholders/Email Marketing to schedule events and send calendar invitations/reminders to participants.
  • Help meeting hosts choose appropriate platform and, when necessary, vendor for their needs.
  • Work with program and department staff to set budgets and track expenses for each event.
  • Create comprehensive event project plans and runs of show, track milestones, and conduct regular checkpoints with deliverable owners.
  • Establish performance indicators to measure meeting and meeting tools’ effectiveness and impact. Propose ideas to improve provided services and event quality.
  • Serve as primary point of contact for overall event logistics, including coordination with vendors and day-of support.
  • Work with partners, speakers, and panelists to understand specific tech needs and set expectations and norms regarding events.
  • Lead and/or execute all event rehearsals and tech checks to ensure partners and speakers are prepared for the event.
  • Support live virtual meeting sessions by helping with technical execution of run of show and providing tech support for speakers and attendees.
  • Identify, track, and report technical problems to appropriate parties.
  • Document general participant experience matters and share with meeting hosts and other stakeholders.
  • Serve as a technical expert in virtual meeting platforms and registration.
  • Create guides and other resources (toolkits, handbook, how-to’s, webinars) to support staff and other stakeholders in the planning for their event.
  • Share best practices and provide technical advice to meeting hosts on developing an engaging interactive user experience (e.g. by embedding activities such as polls, surveys, knowledge checks, etc.)
  • Manage vendor relationships and seek out new technologies that can improve and streamline virtual event processes.
  • Review analytics to measure and report on effectiveness of each event and work with departments on integrating event data into CRM and Email Marketing Database.
  • Develop standard operating procedures for virtual meeting functions and build processes with an eye for repeatability and scalability of events.
  • Maintain open lines of contact with Communications, IT and Development.
  • Other duties as assigned.
MINIMUM QUALIFICATIONS:
  • A bachelor's degree and three years of experience in event planning, operations, project management, or related field, OR an equivalent combination of education, training, and experience.
  • Proven experience as an event manager; experience working in both digital and in-person event environments.
  • Experience with online event/webinar software programs such as Zoom, Teams, and Google Meet and interactive media like chat, polls, Q&A, PowerPoint slides, and videos.
PREFERRED QUALIFICATIONS:
  • Five plus years of experience in event planning, operations, and project management; experience in both digital, in-person, and hybrid event environments; experience with online event/webinar software programs such as Zoom, Teams, and Google Meet, as well as interactive media like chat, polls, Q&A, PowerPoint, and videos.
NOTE: This role will be granted the opportunity to work from home regularly but must be able to commute to The Carter Center on a flexible weekly schedule based upon business needs. Schedule is based on agreed upon guidelines. The Carter Center reserves the right to change remote work status with notice to employee.
