Company Description

The Wonderful Wine division consisting of JUSTIN Vineyards & Winery (Paso Robles), Lewis Cellars (Napa Valley), and Landmark Vineyards (Sonoma) is seeking an Executive Assistant to support the President, Wine, SVP, Sales and VP, Production. Based in Napa, this is a great opportunity to assist the executive wine leadership in an ever evolving wine business as JUSTIN is the leading winery in Paso Robles, Lewis Cellars is embarking on a massive expansion in its hospitality and wholesale operations and Landmark is a strong direct-to-consumer business. 

This newly created role will ensure the efficient execution of the administrative tasks for the three executives, including meeting coordination, travel planning, report preparation, and day-to-day office operations. The ideal candidate is highly organized, proactive, and capable of managing multiple tasks and priorities with precision and discretion.

 

Job Description

  • Manage the complex day-to-day schedule and prioritization of activities of these three executives, proactively identifying and resolving scheduling conflicts
  • Serve as the primary point of contact for internal and external stakeholders
  • Arrange complex and detailed travel plans and itineraries; compile backgrounds for travel-related meetings
  • Oversee coordination of meetings including both onsite and offsite, expense reimbursement, correspondence, and mailings
  • Facilitate communication with executive, administrative, and all levels of employees
  • Compose routine correspondence, organize, and maintain confidential files and records
  • Build relationships with the other Executive Assistants and collaborate for meetings, presentations, events, and travel
  • Order office supplies and maintain inventory for the executive offices
  • Consistently meet deadlines with minimal supervision
  • Create simple PowerPoint and/or Keynote presentations

Qualifications

  • Minimum of 5 years of executive assistant experience in a fast-paced environment, preferably within the wine industry
  • Ability to manage and prioritize multiple projects with competing deadlines and priorities
  • Proven organizational and technical skills requiring expert use of Microsoft Office products and video meeting platforms to develop and execute professional communications and presentations for a variety of audiences
  • Demonstrated comfort with learning new systems and technologies
  • Exhibit constant professionalism and integrity with a strong attention to detail
  • Possess a high degree of proactivity and initiative.
  • Ability to effectively interact with all levels of management, including C-Suite executives

Pay Range: $30.00 to $32.00 per hour. Final compensation is dependent upon skills and experience.
