Purpose

Provide complex learning and development coordination and administrative support for classes and other development activities at Boston Scientific.


Key Responsibilities

  • Calendar Management for programs - Manage calendar and demand planning for programs to ensure there is enough capacity to meet demand. Classes should be scheduled on a rolling 6-12 months.
  • System Responsibilities – Set up all necessary Structural Heart Sales Training events (schedule, pre-requisites, pre-work, Classrooms, Hotel logistics, Car assignments, guest instructors, etc.).
  • Onsite / Offsite program logistics – Complete room-set up and tear down per an existing checklist. Ensure computers, projectors and passwords are working. Track/manage pre-work as necessary. Order materials, assemble as necessary and place on the tables ready for class. Ensure any other course necessities are in the room. Greet facilitator and ensure they have what they need. Order catering. Ensure name tents, roster and sign in sheets are taken care of. Handle last minute requests that arise (printing handouts that change, more food/beverages needed, etc.). For virtual programs, support virtual set-up and tracking
  • Onboarding – Notify Sales Trainers and Sales Operations of new hires, terminations, and transfers. Own all onboarding material and processes to ensure all administrative requirements are completed.
  • Assist in maintaining records of pre-onboarding assessments, training requirements, and broad understanding of certification pathway as well as post training surveys
  • Deliver & own day one content of BCT – administrative requirements / onboarding material
  • Non-Classroom Administrative Support – Manage invoicing and chargebacks, Book hotels for meetings, provide logistics / agenda’s to participants, prepare handouts and documents for training events, Monitor Pre & Post surveys, and assist sales trainers where applicable.
  • Anticipates and coordinates projects/assignments, organizes own schedule, and that of others, to meet deadlines. May gather and prepare data in preparation of upcoming projects; identifies future needs to complete projects.
  • Performs general administrative duties that may include photocopying, coordinating meetings/appointments, typing, faxing, ordering/maintaining supplies, arranging travel, preparing and/or sorting mail.
  • Translates thoughts into documents (letters/memos/presentations, etc.) using existing material; ensures document is logical and complete as well as accurate in grammar and spelling; makes suggestions for improvements in existing communications.
  • Manages work in a confidential manner, ensuring information is shared with internal and external individuals in an appropriate manner; provides guidance to peers as necessary regarding proprietary information.
  • Responsible for confidential information which typically consists of company / division sensitive information (i.e. new product technology).
  • Oversees classrooms supplies and supplies for the Minnesota team and orders as needed.
  • Works with vendors to secure courses, dates. Inspects the invoices to ensure they are aligned with BSC policies
  • Other duties as identified

Key Competencies

  • Communication – Assist in the communication process between sales trainers, Sales Operations team, and sales organization to ensure exceptional outcomes.
  • Proactivity – Be able to address or make sales trainers aware of potential obstacles / hurdles that the training department may endure. Must be able to think on your feet to resolve issues and satisfy customer needs.
  • Collaboration – In addition to working in close collaboration with local Structural Heart Sales Trainers, must work closely with other Administrators, and Sales Operations to ensure success of the sales organization.
  • Knowledge - Complete knowledge of the job. Applies thorough knowledge of business concepts, procedures and practices, and a complete understanding of fundamentals in a functional area and working knowledge of other related disciplines. In-depth expertise in company’s core hardware and software package (i.e. creating formulas and working with multiple worksheets in Excel; producing advanced screen shows in PowerPoint; inserting graphics, charts and tables in Word; creating forms, Concur expense reporting system).
  • Cognitive Skills - Performs mostly non-routine assignments requiring basic interpretation of established procedures. Applies strong business writing, proofreading and editing skills (i.e. independently generates correspondence with only brief content outline from supervisor) when completing work.
  • Adaptability – Must be flexible with schedule and be able to adjust to things changing on a daily basis.
  • Planning and Execution – Must plan at least six months ahead and manage the work associated with the countdown to class delivery. Must check details of work and ensure accuracy. Must be on time every time with classroom support details.

Job Location and Hours

  • Maple Grove campus of Boston Scientific is primary location but must be available to work at all MN campuses, based on learning support required.
  • Start time is 7:00 a.m. when morning sessions are scheduled to accommodate meeting facilitators and learners for classes. End time is based on end time for classes; must be available for room clean-up. When sessions are not scheduled, start/end times are flexible to the extent other tasks/commitments are flexible. When training events are not in session hours are typically 8 – 5 (M-F)
  • On days of classes, the coordinator needs to be available on site. For the complex programs, this may require longer days to be available when the facilitators arrive and to clean up the room later.
  • Some travel may be necessary to accommodate offsite training events.
  • Overtime may also be needed occasionally.
