About This Role
Biogen is seeking an early-career experienced professional to support the Transaction Management function in the Global Real Estate (GRE) organization. This role will collaborate with cross functional leaders at Biogen to ensure a tight integration of real estate, project management and facilities services across a global portfolio of approximately 70 locations in 40 countries. Reporting to the Head of Global Real Estate (GRE), the successful candidate will maintain and execute a global real estate strategy by supporting the transaction management function within a dynamic company with evolving real estate needs. The individual will need to manage multiple complex projects simultaneously with various and sometimes ambiguous business requirements and must have the ability to coordinate with internal stakeholders, external real estate partners and landlords.
What You’ll Do
- Communicates a clear real estate portfolio strategy so that all enabling functions are aware of what the organization requires to ensure its future success. Works effectively with internal and external stakeholders to ensure that the company’s real estate strategy and objectives are known and maintained.
- Works collaboratively with the Head of GRE and business leaders to manage the real estate transaction process internally and owns the execution of transactions with the third-party real estate partner. Tasks include:
o Tracking critical dates, performing site selection, preparing LOI’s, lease negotiation, coordinating legal reviews and obtaining corporate approvals.
o Oversees all transaction management activities by maintaining an up-to-date status log and deal completion-tracking information and conducts periodic status update calls with real estate partner.
o In collaboration with real estate partner, analyzes local market data on a forward-looking basis as it relates to existing portfolio and proposed proactive changes.
o Manages transactions in a global environment, with an understanding of the unique challenges in the variability of policies and processes with each country
o Works with the Head of Global Project Management to develop Landlord and Tenant scopes of work.
o Coordinates with Head of Global Occupancy Planning to determine business requirements prior to kicking off each transaction.
- Reports and analyzes portfolio management data and regularly monitors performance by establishing and tracking Key Performance Indicators (KPI) to identify future process and cost improvement opportunities.
- Seeks continuous improvement by challenging existing business processes, technologies and systems to drive greater efficiencies for the business. Creates an environment of continuous improvement within the portfolio function, regularly benchmarking products and services against competitors and best practice companies.
- Acts as a trusted business advisor and SME to the business for all transaction-related activities. In partnership with the business leaders, develops business specific strategies and service level agreements including cost and customer satisfaction measures.
- Develops and maintains effective relationships with real estate partners, landlord representatives, cross-functional departments, and the business teams to ensure GRE goals and requirements are clearly defined and communicated to all parties.
- Supports the lease administration function in collaboration with the internal Finance team and external lease administration partner.
o Assists in ensuring timely company reporting requirements/compliance for transaction related data.
o Develops and prepares reports as needed including critical date reports, portfolio inventories, etc.
- Advises on technology tools to improve the efficiency and effectiveness of the GRE team.
- Manages Service Level Agreements with strategic partners and supports vendor management in alignment with Procurement team.
Qualifications
Who You Are
You are experienced in global transaction management within a fast paced, complex, multinational environment. You are a self-starter that understand financials and comfortable with frequent change and innovation. You possess the ability to develop strong relationships, prepare and present clear and comprehensive business cases and drive new initiatives. You excel in evaluating facts, determining alternative solutions to problems, and suggesting courses of action, and reaching sound management decisions.
- 4-5 years of experience within a multinational organization (life sciences industry preferred)
- Deep knowledge of all aspects of Transaction Management in a global environment with previous experience interpreting, analyzing and negotiating real estate leases and related agreements
- Prior experience supporting the implementation of a strategic global real estate master plan
- Experience in M&A integration and real estate technology implementation is a plus
- Demonstrates a high degree of integrity, expresses ideas clearly, is easily understood with a proven ability to see a vision and gain alignment across the organization with strong influencing skills
- Strong analytical skills with expertise in MS Excel and proficiency using lease management software
- Capacity to establish and maintain strong working relationships with internal support teams, external real estate partners and business unit customers
- Excellent management skills with demonstrated organizational, administrative, interpersonal, analytical, problem-solving and communication skills
- Ability to manage multiple priorities in a fast-paced, collaborative, team-oriented environment
- Must be sensitive to and can manage cross culturally
- Must demonstrate a passion for, and proven success in, driving continuous process improvement
Education:
University/Bachelor’s degree minimum, Master’s degree and/or a recognized qualification in Corporate Real Estate or related real estate designation would be considered a bonus.
