UCP Oregon is currently seeking an Operations Coordinator who will work on the Employment Services team. This department works to support individuals to pursue and excel in competitive employment. Our services include Career Exploration, Job Search and development and job coaching.
As the Operations Coordinator you will work closely with the Employment Director, Program Manager, Direct Support Professionals to streamline and implement administrative processes in the department.
In order to thrive in this role, one should be excited about supporting the work of others and feel comfortable being the go-to person for daily operations and troubleshooting. Preferred traits and skills include self-driven initiative, creative problem-solving, excellent attention to detail, and an inclination to collaborate. Expertise in the Microsoft Suite is a must along with the ability to quickly learn and operate other types of applications and programs.
You will partner closely with our Program Manager to ensure all Employment Services operations are running smoothly, including:
- Providing administrative support, including managing confidential files appropriately.
- Updating and maintaining department spreadsheets, tracking tools and databases.
- Providing billing support including auditing billing reports and documents for accuracy, performing monthly reports and reconciliations, supporting department staff as needed to complete documentation and billing duties. Assisting with monthly billing and revenue reports.
- Data Management with eXPRS/Therap including acting as a liaison with The Oregon Department of Human Services, eXPRS, and other partnering entities – keeping up-to-date with policy updates and developing strategies to communicate changes to the team. Maintaining data and entering required information into the ODHS billing and payment system eXPRS.
- Providing Quality Assurance including routinely auditing department files to ensure licensing requirements are met, correcting errors as needed to ensure compliance
- Attending meetings and conducting research to stay up to date on all of the Oregon Administrative Requirements to inform our policies and processes.
- Assisting with special projects, and taking the lead on projects as assigned.
- Training employment team members on internal policies and processes as needed.
- Assisting the team with identifying new ways to be organized, streamlined and efficient and helping to implement those new processes.
Hours & Location:
- This is a 40-hour a week job. Typical schedule will be Monday through Friday, 8:30am to 5pm or 9am to 5:30pm but may vary at times due to Employment Department needs. Additional hours will rarely be required.
- This is a hybrid remote position where the Operations Coordinator will work part-time from home and part-time from the UCP office located at NE 102nd Avenue.

- At least two years of experience performing administrative duties OR 1 years of experience plus a Bachelor’s Degree and/or equivalent education in data management, accounting, social services, or business.
- Strong preference for expertise in billing, data entry, and quality assurance.
- Strong computer skills, including proficient knowledge of Microsoft Office software (including Word and Excel).
- Demonstrated ability to create, update and maintain multiple data bases, spreadsheets, and digital files.
- Ability to work with minimal supervision and make decisions independently.
- Excellent organizational and multitasking abilities.
- Strong communication and interpersonal skills.
- Problem-solving skills and attention to detail.
- Ability to work independently and as part of a team.
- Be able to pass a reference check and a criminal history background check.
- $27.28 per hour. Annual wage increase based on satisfactory performance.
- Eligible for overtime pay for hours worked over 40 hours per week.
