Student Alumni & Networking Coordinator I or II

Overview

The Student Alumni & Networking Coordinator is a key member of the Advancement Alumni Team. They are responsible for planning and executing alumni events, with the aim of encouraging alumni loyalty to USU, ultimately resulting in increased engagement and philanthropic support. The Student Alumni & Networking Coordinator makes recommendations for innovative events for USU donors and alumni, takes initiative to plan and execute events and projects in a professional manner, collaborating with Alumni team members, USU Stakeholders, USU Event Services, vendors, and others. Events include physical or virtual events with the purpose of creating meaningful and engaging experiences for Alumni and donors to further Advancement’s mission of providing a gratifying experience, ultimately leading to greater support and giving.  

 

This position oversees all aspects of event planning, including but not limited to: making recommendations for engaging opportunities that build on USU’s mission at all levels, strategizing event objectives and outcomes, developing invitations, determining guest lists, working with vendors, coordinating staff, assuring pre-and post-event data is captured, evaluating event ROI, and assuring all levels of the event experience reflect USU’s excellence. This position will work with units across the state-wide campus system to consult on and assist with planning alumni-focused unit events. 

 

This position oversees the Student Alumni Association, and additional alumni programs.  

Responsibilities

  • Represents Sr. Director and/or Alumni team at planning meetings and events, as assigned. 
  • Using tools such as GOTM and Planner Boards, makes recommendations for strategic event objectives. 
  • Collaborates with representatives and stakeholders across the state-wide campus system, recommending events that capitalize upon USU’s strengths and programs. 
  • Creates and Operationalizes an Alumni Tiered Event Support Plan, creating innovative approaches to events and event engagement.
  • Monitors and administers program revenues and expenses; may develop or participate in the development of funding sources for Student Alumni programs.
  • Works closely with the units to consult and provide support and coordination for their Alumni-focused events. 
  • Acts as a resource to the units, including providing event information, assisting with event software, providing support on unit data pulls, etc.
  • Serves as a liaison between students, faculty, staff, other departments, external constituencies and boards as directed.
  • Coordinates and assures that all event data is entered into the CRM, allowing for accurate event ROI analysis. 
  • Collects and analyzes data; prepares scheduled and special reports; maintains program records and statistical information as requested.
  • Evaluates event ROI (return on investment) to determine if objectives have been met.
  • Determines the purpose of the event and looks for opportunities to showcase the programs at USU.
  • Participate in team goals and expectations, ensuring alignment with the Alumni Office’s strategic objectives.
  • Foster a collaborative work environment, encouraging creativity and efficiency in alumni engagement efforts.
  • Act as a representative of the USU Alumni Association, while embodying the Aggie Spirit and brand representation to foster strong relationships with alumni.
  • Perform other duties as assigned.

Qualifications

Minimum Qualifications: 

This position will be hired at either an Advancement Specialist I or II level based upon qualifications and duties assigned:

  • For Student Alumni & Networking Coordinator I:
    • Associate degree in a related field plus two years of relevant work experience; or bachelor’s degree in related field or equivalent combination of education plus relevant work experience OR equivalent combination of education and experience.  
  • For Student Alumni & Networking Coordinator II:
    • Bachelor's degree in a related field plus two years of relevant work experience; or a master’s degree in a related field; or an equivalent combination of education plus experience OR equivalent combination of education and experience.
  • For Both Levels:
    • Evenings, weekends and travel will be required. OR Must be available to work non-traditional hours, including evenings, weekends, and travel
    • Experience in program development, event planning, and/or project management.

Preferred Qualifications:

  • Experience in higher education, non-profit organizations, or advancement.
  • Knowledge of CRM systems, alumni databases, or event management software.
  • Experience in supervising and managing teams.
  • Familiarity with USU traditions, culture, and alumni networks.

Knowledge, Skills, and Abilities:

  • Knowledge of principles and practices related to specific program.
  • Knowledge of research and information gathering methods and procedures.
  • If applicable, knowledge of grant development, implementation, budgeting, fiscal control, and reporting.
  • Ability to make procedural decisions and judgments.
  • Ability to coordinate and organize meetings and/or special events.
  • Clerical, word processing, and/or office skills.
  • Skilled in the use of personal computers and related software applications.
  • Skilled in organizing resources and establishing priorities.
  • Skilled at records maintenance.
  • Ability to lead and train staff and/or students.
  • Ability to interact with students, faculty and/or staff in a team environment.
  • Knowledge of communication principles, media, and marketing techniques.
  • Ability to gather and analyze statistical data and generate reports.
  • Program specific knowledge, skills, and abilities as described in recruitment notices.
  • Ability to exercise a high level of creativity, decision making, problem solving, and discretion as work is varied and may be undefined.

    The environment and physical requirements may change depending on the specific function of the work each department performs. Incumbents may be in both indoor and outdoor environments. Indoors, in an office space, event space, or public space are protected from weather conditions, but not necessarily from temperature changes. Incumbents may nearly continuously sit and often use repetitive hand motion (such as typing).

    Outdoors, incumbents may not be protected from weather conditions and may be exposed to extreme heat and extreme cold. Additionally, indoor or outdoor work environments may include being confined or in narrow spaces for periods of time. The incumbent may also be exposed to loud noises or vibrations from equipment, and conditions that may affect the respiratory system, such as fumes, odors, dusts, mists, gases, and poor ventilation. Bending, crawling, and crouching may be required. Incumbents may be required to lift, push, and/or pull objects up to 50 pounds and be required to walk and/or stand for long periods of time.
