Unit Secretary, Medical Inpatient Unit

Responsibilities:
The Unit Secretary will work Full Time, Nights as measured by direct or indirect supervisory observation and/or co-worker feedback, the successful incumbent demonstrates skills in the following duties and responsibilities.

Examples of these include, but are not limited to the following:
  • Prepares medical records for new admissions and discharged patients / Prepares charts for new patients.
  • Monitors and maintains Telemetry equipment applicable to unit. Notifies appropriate clinical personnel of telemetry concerns as directed and according to protocol.
  • Monitors virtual sitter feeds. Notifies appropriate clinical personnel of safety concerns.
  • Coordinates telemetry and virtual sitter oversight for breaks/etc.
  • Logs all patients in the logbooks and in computer upon admission, transfer, discharge or expiration.
  • Obtains appropriate nursing staff to assist patients/physicians in the care of the patient.
  • Performs maintenance tasks relating to chart order, chart accuracy and chart current data.
  • Keeps all necessary lists and schedules.
  • Answers the telephone in a professional manner; direct calls to appropriate individuals and/or take messages.
  • Stocks units with office and medical supplies weekly; prepare requisitions to maintain established inventories.
  • Fax and photocopy information as needed.
  • Coordinates specific work tasks with other personnel within the unit as well as within other units and departments in order to ensure the smooth and efficient flow of information.
  • Respond to inquiries relating to the employee's particular area within given timeframes and within established policy.
  • Participates in computer training and assume gradually increasing computer-related responsibilities.
  • Floats to different patient care units and functions effectively in different, stressful situations.
  • Performs similar or related duties as requested.
Organizational Responsibilities:
  • Adheres to standards of practice as set forth in policy and guidelines to assure patient safety.
  • Uses supplies and institutional resources in a financially responsible manner.
  • Maintains an orderly, clean and safe work environment.
  • Maintains appropriate, professional personal appearance, including but not limited to required attire such as uniforms and safety apparel.
  • Assists in the training process of students and/or orientation of new personnel.
  • Participates in staffing patterns that reflect variable demands in service.
  • Demonstrates a positive attitude.
  • Uses flexibility and innovation while problem solving.
  • Demonstrates collaborative practice, support and respect for each team member.
  • Participates in departmental / organizational committees.
  • Demonstrates initiative in expanding and sharing knowledge.
  • Participates in continued education through attendance and presentations at in-service sessions.
  • Communicates with patients and coworkers while adhering always to hospital policies for the protection of the privacy of patient health information and confidentiality.
  • Assists with the development and implementation of policies and procedures.
  • Communicates necessary information to supervisor or team leader in support of unit, departmental and facility standards and policies.
Qualifications:
Education:
  • High school diploma or equivalent, required.
  • Basic cardiac rhythm recognition course, within 6 months of hire.
Experience:
  • Previous experience in a healthcare related position, preferred.
