Job Description Summary
Position is part of a team of administrative support personnel focused on providing day-to-day support to departmental leadership, faculty, and staff so they may focus on patient care, research, service, and education. This position will provide administrative support and be a primary point of contact for a complex and growing division within the Neurology Department.

Required Qualifications
Education: Bachelor's degree or an equivalent combination of relevant post-secondary education and work experience that equals at least four years.
Work Experience/Skills
• Experience working independently.
• Experience working in Microsoft Office.
• Demonstrated track record of performing optimally in a busy office environment.
Preferred Qualifications
Work Experience: Experience working in a university setting and navigating software such as Workday, QGenda, and Faculty Activity Collaborations Tool (FACT).
Skills: Strong organizational skills and the ability to coordinate and prioritize multiple tasks in a busy, dynamic environment. Possess strong communication skills.
Job Duties Outlined
• Serve as the assistant to the Inpatient Neurology Division Chiefs. Maintain calendars and schedule meetings.
• Coordinate annual employee reviews for inpatient division faculty with Chair’s Office.
• In cooperation with Division Chiefs, schedule and prepare materials for monthly division meetings. Determine dates and availability. Calendar appointments, meeting agenda and minutes, attendance tracking, room reservation, and technical support as needed.
• In coordination with Inpatient Division Chief and residency coordinator, prepare and manage the inpatient neurology call schedule. Cross-check data for accuracy and potential errors on all faculty and trainee services. Distribute monthly to department and as changes are made. Enter call schedule data into Q-Genda and distribute to Operator.
• At the direction of and in coordination with Department Leadership, track grants, publications, participant visits, and aid in providing data entry support for research and clinical trials as needed. Compiling data/statistics as needed.
• Maintain and update curriculum vitae for division faculty in the online database. Include annual updates to grant and publication data as well as committee and teaching activity.
• Distribute incoming campus and US Mail to faculty. Assist with shipping via national couriers.
• Maintain office environment. Serve as resource for faculty questions. Submit work order requests (facilities, housekeeping, IT, telecom, etc.). Maintain division directory.
• At the direction of supervisor, coordinate visitor agenda including speakers and candidates. Schedule meetings and presentations. Create and distribute talk flyers. Make travel arrangements (flight, hotel, transportation, etc.). Prepare forms and process travel reimbursements.
• Assist and manage event planning including correspondence, travel arrangements, schedules, catering, etc.

Compensation Statement
The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
