The Grant Manager is responsible for timely requisitioning and receiving of all goods and services requested by research staff, reconciles credit card statements, and responds to ad hoc requests regarding financial transactions. This position is responsible for assisting faculty with progress reports for awarded grants; specifically, this position assists research faculty funded by NIH with completing the Research Progress Report (RPPR). The Grant Manager works with sensitive information and is expected to maintain secure practices to maintain confidentiality.Job DescriptionJob Description• Reviews, develops, and maintains automated accounting procedures and systems. This position is responsible for the management of a high volume of transactions for numerous multi-year sponsored research projects. Accounting procedures and systems must be developed to support various sponsor requirements while maintaining core functionality needed for internal management.• Pre-Award:• Assist faculty members with the preparation and processing of funding applications by analyzing and interpreting proposals and their budgets.• Identify potential funding opportunities for KUMC research faculty.• This position must research, clarify, and interpret the practices and requirements of both the sponsor and the University of Kansas Medical Center, and convey this information to research faculty in a clear and concise manner.• Post-Award:• Compiles financial data necessary to manage grant budgets.• Coordinates comprehensive assembly of financial data including grant expenditures, payroll, interdepartmental billings, encumbrances, etc. for both KUMC and KUMC-RI accounts.• Creates formulas and calculations when necessary for reporting purposes.• Automates and documents all processes, as feasible, including data integrity features.• Provides technical assistance regarding post-award management on an interdepartmental basis including support to KUMC Research Institute and Information Resources.• Reconciles all grant expenditures for accuracy and consistency with allowable expenditures specific to each grant in accordance with applicable University and sponsor restrictions.• Prepare periodic status reports, variance analyses, and forecasts of project-end financial sufficiency.• Facilitate the execution of sub-award agreements and no-cost extensions for SHP researchers.• Provides ad-hoc and standard management reports to OGR and SHP leadership and appropriate staff regarding current and projected financial status of research projects.• Provides analysis of budget variances and suggests corrective actions.• Develops and maintains financial formulas based on history of recurring categorical expenditures with factor adjustments for non-recurring expenses. Unique management reports are provided for each project monthly; project specific forecasts are provided several times each year and upon request.• Provides information, advice, and technical assistance.• Participates in informational and planning meetings with Principal Investigators, Associate Dean for Research, and SHP Director of Finance on key issues of concern including budget planning and tracking, variances, inconsistencies, re-allocations, etc.• The Manager is required to analyze and interpret financial reports and to identify issues for corrective action. Determines legitimacy of concern and identifies and implements solutions as applicable and directed. Acts as a resource to research staff regarding accounting practices.• Responsible for the processing of all grant requisitions in an accurate and timely manner for supplies, equipment and services and maintains appropriate accounting records including integrity of object codes, account codes, compliance issues, etc.• Must provide oversight of workflows and assignments which meet departmental targets for cycle times.• Initiates and responds to vendor correspondence regarding pricing, delivery, and payments.• Maintains current working knowledge of State of Kansas, KUMC, KUMC-RI purchasing policies, protected vendors, purchasing software requirements.• Reconciles credit card and other statements (e.g Business Procurement Card (BPC)) with organizational accounts and budgets. Maintains current knowledge of restrictions and practices.• Works closely with the Associate Dean of Research regarding processes as Pre-award information will carry over to the SHP Post-award system.• Meet with Associate Dean of Research frequently to review processes and procedures for any necessary changes in order to keep systems efficient and accurate.• Provide project support to the SHP Associate Dean for Research.• This job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee for this job. Experience may substitute on a year for year basis.Work Experience• Three years of related experience with one of the following in a large corporation or University setting:• Accounting• Financial management of grants• Budgeting• Financial recordkeeping• Experience with MS Excel for financial reporting and spreadsheet development, including Microsoft SuitePreferred QualificationsWork Experience:• Experience in an academic setting.• Experience with Workday and QlikView reporting.• Experience with sponsored project proposals and financial management.• Knowledge of Uniform Guidance and basic knowledge of federal guidelines.Skills• Excellent communication, analytical and problem-solving skills.• Organizational and interpersonal communication skills,• High degree of attention to detail and multi-tasking.• Ability to work with faculty, staff, external entities, and other internal departments in a professional manner with refined verbal and written communication skills.• Ability to work in a self-directed manner in a team-oriented environment.Comprehensive Benefits PackageCoverage begins on day one for health, dental, and vision insurance and includes health expense accounts with generous employer contributions if the employee participates in a qualifying health plan. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.Pay Range$65,000.00 - $99,000.00Minimum$65,000.00Midpoint$82,000.00Maximum$99,000.00
