POSITION SUMMARY:
This position provides support to college-level Centers and Institutes as identified by the Dean and leadership team for Center and Institute Administration. It serves as a liaison between Center and Institute Directors and various centralized departments within the college and larger university systems, including the Business and Finance Support Services Team, CAS Events and Marketing Team, USF Foundation, Contract Management, and Procurement. The role oversees all facets of the daily operations and business practices of the organizational unit, ensuring compliance with university, state, and federal laws, policies, and regulations.
RESPONSIBILITIES:
Administrative Support for Centers and Institutes:
Manage day-to-day operations by performing administrative duties to support college-level centers and institutes, exercising discretion and judgment based on operating guidelines and university policies.
Work with the Unit Research Administrator regarding purchasing, expenditure and budget transfers, coordinating travel, grant and contract expenditure support.
Partner with the Unit Research Administrator to submit annual and septennial evaluations and reports in compliance with BOG Regulations.
Respond to and initiate inquiries related to purchasing, personnel, facilities, administration, and specialized programs. Explain policies, answer questions, and independently resolve problems.
Compose and prepare correspondence, memoranda, manuals, and reports using appropriate word processing and spreadsheet tools.
Stay current with changes in USF policies and GASB Accounting Standards to ensure compliance.
Faculty Support and Administration:
Facilitate faculty activity reporting using the AFD-FAR/Archivum system.
Provide administrative support for mid-tenure, tenure, and promotion applications.
Schedule general faculty meetings, prepare materials, and take minutes as needed.
Assist with annual faculty reviews, annual assignments, and workload management.
Support faculty awards procedures.
Presentation and Marketing Material Preparation:
Prepare presentation materials for use by others, editing content and incorporating appropriate graphic design elements.
Create basic web content, event flyers, and other marketing materials.
Develop materials to effectively convey the work of Centers and Institutes to stakeholders on and off campus.
Business and Finance Support Services (BFSS):
Act as the primary liaison facilitating communication between the academic department and Business & Finance Support Services.
Perform Other Duties as Assigned
POSITION QUALIFICATIONS:
MINIMUM:
This position requires a High School diploma or equivalent with four years of customer service related experience including at least one year of supervisory experience.
FLSB1310 Equivalency:
4 years of directly relevant experience may be substituted for bachelor's degree.
6 years of directly relevant experience may be substituted for master's degree.
PREFERRED:
A Bachelor's degree in Business Administration or Public Administration, or another appropriate field. The ideal candidate will have experience working in higher education and demonstrate excellent organizational skills as well as excellent communication skills.
