OVERVIEW

The University of St. Thomas invites qualified candidates to apply for a Coordinator II position within the Luann Dummer Center for Women.

Salary Range: $21.90 to $25.00

 

The University of St. Thomas has provided a salary range that represents its good faith estimate of what the University may pay for the position at the time of posting. The specific salary offered will be determined based on factors such as the qualifications of the selected candidate, departmental budget, internal salary equity considerations, and available market information.

 

JOB SUMMARY

This .75 position (part time with benefits) is distributed as follows: during the academic semesters, it requires 36-38 hours/week and during January and the summer, 20 hours/week. During the Fall and Spring semesters, the coordinator should be available to work in the office. During the summer and J-Term, should the needs of the Center be met, the coordinator can work remotely, though those hours will be established in conversation with the Director. This position requires that the coordinator be available during the Women’s History Month speaker event in March. This position requires excellent communication skills (both oral and written), social skills, and the ability to adapt to the evolving needs of the Center, to include adapting to the variety of technological advances used. Importantly, this position requires a strong sense of teamwork with the Director and Advisory Board along with support for the Center’s mission of gender equity, justice, and diversity.

 

 

ESSENTIAL FUNCTIONS

  • Event Management
    • This position manages logistics for events, including payment to speakers, catering, contracts, securing locations, reserving photographers, and making and confirming reservations. Logistics for events includes coordinating with speakers and visitors as needed. Event management includes supporting LDCW regular programming (examples: Yarn Tamers, Book Circles, Making Waves, etc.); Women’s History Month speaker; and collaborations/partnerships with other institutes and departments. Such support could include making sure technology is available and workingwilk. This position collects data on registration and attendance (this may entail the use of Qualtrics, SalesForce, or other applications). This position also communicates and provides logistical support to FemCom; Women, Gender, and Sexuality Studies; and other stakeholders as needed
  • Communications Management
    • This position designs, updates, and provides content for both internal and public-facing websites; creates communication strategies to highlight programming and encourage participation, including making certain all stakeholders across campus (examples: FYEX, Aquinas Scholars, relevant student groups and advisors) are aware of events in order to create cross-campus connections and promote attendance. This position manages social media outlets (whichever are currently popularly used). This position manages the LDCW correspondence, tracking and responding to campus and community emails and phone calls and distributing announcements. This position creates, distributes, and manages digital and print publicity for specific events (as listed in Event Management). This position coordinates with marketing and news outlets on and off campus. This position organizes the LDCW newsletter, traditionally called Many Voices
  • Student Worker and Grant Recipient Management
    • This position facilitates payment of student employees and grant recipients, monitors hours worked, and tracks grant funds (through Accounts Payable).  This position assists the Director in reviewing student worker applications and interviewing potential students workers. Additionally, this position monitors student workers’ hours.   This position manages the collection and distribution for review of grant applications (by LDCW Advisory Board members through SharePoint). When grants are awarded, this position monitors amount spent and keeps grantees apprised of used and available funding
  • Office management
    • This position helps to maintain a clean, organized, and welcoming LDCW space; ensures that the Center’s materials are organized and catalogued (library, art, artifacts, digital materials); sees to the display of the LDCW art collection (this could include working with the Art History Department or with an Art History student worker). This position maintains a calendar ensuring that the LDCW space is utilized appropriately by UST student, staff, and faculty groups and / or community groups and provides support as needed (including tracking keys). This position maintains the supplies for the office and schedules cleaning services for more extensive annual cleaning

QUALIFICATIONS

Minimum Qualifications

  • High School diploma
  • Three years of administrative support experience, preferably in Higher Education

Preferred Qualifications

  • Bachelor’s degree
  • Experience working with or interest in working with social justice / social equity programming
  • An understanding of and support for the mission of the Center.
