Position Summary:
- Provide leadership needed to execute, direct and coordinate University administration of student course enrollment and record-keeping functions, including the management and maintenance of student academic records, enrollment support services, degree verification, and all related matters.
- Provide University leadership in policy related to enrollment, records and academic issues reflected in the official student record. Interpret and enforce the appropriate policies and regulations, and participate in the regulatory compliance of the University.
- Provide leadership in the use of new and existing technology related to student enrollment and academic record keeping.
General Purpose: The Registrar is the official authorized keeper of the university’s student records and is responsible for supervising, directing, and managing the operations of the Registrar’s Office within Student Achievement Services as it relates to the records and registration of all students in accordance with established procedures, state and federal regulations.
Position Responsibilities:
- Process and/or supervise all activities related to student record keeping including but not limited to student enrollment, course catalog and class schedule maintenance, articulation and posting of transfer credit, recording of grades, graduation processing and posting, admission of non-matriculated and cross-registered students. Serve as the first point of contact to troubleshoot any Student Records’ functional problems.
- Supervise the maintenance of accurate student records and transcripts in compliance with all University and Federal regulations. Keep abreast of regulatory developments effecting student records, track trends in communication and recordkeeping technology that may impact the security or integrity of the record, and take appropriate measures to reduce the vulnerability of records to loss or unauthorized access.
- Supervise the process by which students are awarded degrees through ongoing communication with departments, faculty and students; coordinate within Student Achievement Services and University Governance entities to assure approval and preparation for the commencement ceremony is complete and accurate.
- Establish and maintain policies and procedures related to credit earned away from Clarkson and oversee the processing of advanced placement and transfer credit and the resulting impact to the student record.
- Oversee the processing of undergraduate continuance and readmission requests. Assure appropriate communication among all involved and provide information and counsel to students and families involved as well as academic officers who may be seeking guidance in the decision process.
- Supervise student records personnel and recommend a variety of personnel actions including, but not limited to work assignments/job descriptions, hiring, merit recommenda-tions, performance appraisals, promotions, transfers, vacation schedules and dismissals. Train and oversee coordinate with personnel in matters relating to student enrollment and student academic records. Establish an open and mutually supportive office environment involving team effort to perform required tasks, cross-training and integration of records functions seamlessly in a collaborative environment.
- Drawing on an in-depth understanding of the student data in PeopleSoft, liaise with the Office of Technology to develop reports, data, and related analysis to a variety of constituencies.
- Serve as liaison with Associated Colleges for administration of cross-registration policy and procedures, and oversee the cross-registration of students.
- Support the Academic Deans in the integration of reporting capabilities into the operation of academic offices throughout the University. Maintain ongoing dialogue with University administration about issues and policies impacting student records.
- Serve in various capacities on multiple governance and institutional committees and task forces as requested, such as the Associate Dean’s Council and Administrative Council.
- Define and disseminate the academic calendar in accordance with University policy. Develop and communicate all deadlines associated with academic processes such as scheduling and grades.
- Perform other related duties incidental to the work described herein.

Education:
Minimal Education: Master’s degree with five years’ experience or Bachelor’s degree with seven years’ experience in higher education administration with a focus on student service.
Minimal Experience:
At least 5 years of direct experience in a Registrar’s office. Excellent analytical, organizational, verbal and written communication skills and ability to deal with difficult situations. Ability to work within a team setting, independently with attention to detail and to meet deadlines.
Preferred Experience:
Experience with PeopleSoft Campus Solutions system and/or integrated system within a higher education setting preferred.
