Job Description:
We are seeking a highly organized and proactive Executive Assistant with experience working for a CEO or executive in a US-based tech company within the past three years. The ideal candidate will be detail-oriented, efficient, and capable of handling a wide range of administrative and executive support-related tasks...
This will be a full time role. The candidate will need to overlap a decent amount of hours with MST time in the United States. They will need to use Slack to communicate and Notion for organization.
Key Responsibilities:
• Run Payroll: Manage payroll processes to ensure timely and accurate payment of salaries.
• Pay Contractors: Handle payments to contractors and manage related documentation.
• Add Commission: Calculate and add commission for sales and other team members.
• Pay Invoices/Add to Melio: Ensure all invoices are paid on time and properly recorded in Melio.
• Manage Receivables: Monitor incoming payments for IOs (Insertion Orders), Super, and other revenue streams to ensure timely collection.
• Send Data to Accountants: Compile and send necessary financial data to accountants for accurate financial reporting.
• Calendar Management: Coordinate and manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
• Communication Management: Handle incoming and outgoing communications, including emails, phone calls, and correspondence.
• Travel Coordination: Arrange travel logistics for the CEO and executive team, including flights, accommodations, and itineraries.
• Meeting Preparation: Prepare agendas, materials, and follow-up notes for meetings.
• Project Management: Assist in the planning and execution of special projects and initiatives.
• Office Management: Ensure smooth day-to-day operations, including ordering supplies, managing office resources, and maintaining office systems.
• Confidentiality: Handle sensitive information with the utmost discretion and confidentiality.
Qualifications:
• Experience: Proven experience as an Executive Assistant to a CEO or executive in a US-based tech company within the past three years.
• Skills: Strong organizational, multitasking, and time-management skills.
• Communication: Excellent verbal and written communication skills.
• Tech-Savvy: Proficient in using office software, including Microsoft Office Suite, Google Workspace, and other relevant tools.
• Financial Acumen: Basic understanding of financial processes and familiarity with payroll, invoicing, and commission calculations.
• Attention to Detail: High level of accuracy and attention to detail in all tasks.
• Problem-Solving: Ability to anticipate needs and proactively address issues before they arise.
• Flexibility: Adaptable to changing priorities and able to work independently as well as part of a team.
