US Payroll Specialist

Who You'll Be Working With:

Hi, my name is Lucy Li and I’m the Payroll Manager at Mejuri, looking for a US Payroll Specialist to join our growing Payroll team. I have been with Mejuri for over 2 years, and I’ve had the privilege of scaling Mejuri’s payroll process to keep pace with the exponential growth the business has enjoyed in the last several years. I currently oversee the management of the payroll function for 400+ employees across Canada, United States, and United Kingdom, ensuring compliance with local legislation. What I love about Mejuri is its empathy-led culture that is communicated from the top, and how much room there is to grow alongside the business.

The Role:

In this role you will have the opportunity to own our US payroll function, while developing skills in Canadian and international payroll as well. You will also be partnering cross-functionally and supporting the implementation of a new payroll system. We are looking for someone with a strategic mindset and a focus on effectively scaling a payroll function, who will be able to be a partner to the Payroll Manager as we work towards building a best in class payroll department. This is an exciting time to join the team, as Mejuri looks to grow and expand into new territories, and take the next step towards becoming a world class jewelry brand.

What You'll Do:

    • Processing payroll accurately, on time and in compliance with legislative requirements across all states and to monitor legislative changes that affect our US payroll.
    • Manage the Company’s multi-location payroll (including but not limited to New York, California, Massachusetts, Texas) and keep a record of all employee compensations and deductions in accordance with localized regulations/laws.
    • Monitor our relationship with various State tax/UI/PFML authorities, and assisting with the setup of accounts with these entities as needed
    • Independently track and communicate US payroll needs to the Payroll Manager clearly and consistently
    • Receives General Supervision from the Payroll Manager on day-to-day work and receives general instructions on new assignment
    • Own the end-to-end payroll operations including compliance, payroll onboarding, status changes, leave management (pregnancy, parental, and disability), and offboarding
    • Process semi-monthly payroll for all US employees, and international payroll as needed
    • Respond to any IRS equivalent inquiries/audits
    • Address employee questions concerning pay and payroll deductions
    • Processes and distributes all required employee notices including year-end W2s
    • Assists accounting with month-end close reconciliations and fluctuation analysis related to salary accounts
    • Assist with payroll accounting journal entries, accruals, and reconciliations on a monthly, quarterly, and annual basis as directed by the Accounting team
    • Manage the communication process between State agencies
    • Develop strong relationships with our payroll providers to quickly troubleshoot issues, special pay runs, and other time sensitive transactions
    • Support the calculation of quarterly retail commissions

What You'll Bring to the Team:

    • Payroll Experience: Full cycle US payroll experience including registering in new States, RRSP treatment, taxable benefits, onboarding etc.
    • Confidentiality: Always ensures confidentiality to the highest standard
    • Knowledge: Multi-state knowledge of US payroll legislation and compliance, ESA, unemployment insurance, social security, medicare, state family leave benefits, and taxable benefits
    • Problem Solving: Keeping a cool head in high stress situations, ability to evaluate and balance risk
    • Ownership: Follow-through and ability to independently prioritize tasks, establish goals for oneself and the team; successfully complete all started initiatives, and stand behind decisions. Ability to take steps personally to ensure that mutual goals and performance target are met within the appropriate time frame
    • Customer Focus: Customer service centric; ability to build relationships with internal & external customers at all levels
    • Skills: Proficiency in Microsoft Office programs, with advanced knowledge of Excel
    • Special Demands: To adhere to unusual working hours during the monthly, quarterly, and annual close periods, annual review, and during processing of payroll runs
