About the jobJob Title: Scheduling CoordinatorLocation: Davie, FloridaDepartment: InstallationReports To: Installation managerQualifications:• Education: High school diploma or equivalent.• Experience: 2+ years of experience in scheduling, administrative support, or a related field.• Skills:• Proficiency in scheduling software and tools, specifically Monday.com, ExakTime, and Job Runner.• Strong organizational and time-management skills.• Excellent communication and interpersonal skills.• Ability to handle multiple tasks and prioritize effectively.• Attention to detail and accuracy in scheduling, work order management, and specialty tasks.• Bilingual written and spoken (English / Spanish)Working Conditions:• Office environment with occasional requirements to work outside standard hours.Ability to work independently and as part of a team on skillsJob Summary:The Scheduling Coordinator is responsible for managing and organizing schedules for Installation department and project timelines. This role involves coordinating appointments, meetings, and Projects to ensure optimal use of time and resources. Additionally, the Scheduling Coordinator will create job-specific work orders using Job Runner, manage team clock-ins using ExakTime, and handle project specific tasks such as badging and safety orientations. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to communicate effectively with various internal and external clients.Key Responsibilities:Schedule Management:• Create, maintain, and adjust schedules for Projects using Monday.com.• Coordinate project timelines and locations, ensuring that all relevant parties are informed and available.• Resolve scheduling conflicts and make adjustments as needed to accommodate changes.Job-Specific Work Orders:• Generate and manage job-specific work orders using Job Runner.• Ensure that work orders are detailed, accurate, and distributed to the appropriate team members.• Track the progress of work orders and update status as needed.Specialty Job Tasks:• Schedule and coordinate badging processes, including appointments for new hires and renewals.• Organize and schedule safety orientations and training sessions to ensure compliance with company policies and project specific regulations.• Track completion of badging and safety orientations, ensuring all required documentation is submitted and processed.Communication:• Serve as the primary point of contact for scheduling-related inquiries.• Communicate schedule changes and updates to team members and clients.• Facilitate clear and timely communication between all parties involved in scheduling.Administrative Support:• Prepare and distribute meeting agendas, updated project timelines, materials, and other relevant documents.<
