Executive Personal Assistant
Winthrop Technologies, a leading data centre delivery partner headquartered in Dublin and operating throughout Europe, is seeking a highly organized and proactive Executive Personal Assistant to support our senior executives. We specialize in providing turnkey data centre solutions, from design through to construction, across a range of services including civil, structural, architectural, mechanical, and electrical, as well as commissioning.
Responsibilities:
- Schedule and manage appointments, meetings, and travel arrangements
- Handle incoming and outgoing communications, including emails, phone calls, and correspondence
- Organise and prepare for meetings, including preparing agendas if necessary and following up on action items as required
- Plan and coordinate travel itineraries, accommodations, and logistics.
- Handle sensitive information with the utmost discretion and confidentiality.
- Office Management: Oversee office supplies, equipment, and facilities to ensure a smooth workflow. Manage the Premium and Circle Club account and distribute booked tickets; Organise Business Cards
- Ensure all Sponsorship and charity invoices are paid in a timely manner
- Manging our Gifts Direct account – Ie. Purchasing of client gifts, employee baby hampers etc
- Managing our Vodafone account and tracking all bills each month
- Minimum of three years of experience as an executive assistant or in a similar role.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in MS Office applications and other relevant software.
- Ability to work independently and as part of a team.
- High level of professionalism and confidentiality.
- Flexibility and adaptability to changing priorities and demands.
