Responsibilities:

Project Management:

The PMO role will initially be the single person fully dedicated to the Human Capital Management (HMC) project and so will have a key responsibility in ensuring all project participants are working effectively and all project components are progressing consistently. This will likely include:

  • Setting up distribution lists and project access appropriately
  • With input and guidance from HRx and our vendor partner Workday, develop and execute a project plan, including timeline and resource allocation for the implementation
  • Develop process for updating and reporting status against said plan
  • With input and guidance from Finance, manage appropriate budget tracking for the implementation
  • Owning the project plan and keeping this up to date with deadlines & key stakeholders. Hold project team accountable for meeting these deadlines
  • Creating a RAID log (Risks, Actions, Issues, Decisions) and flagging key points from this to project leadership / sponsors
  • Ensuring functional design items and questions are fully resolved in timely matter (working with required stakeholders and tracking through to resolution)
  • Ensuring roles of project team and stakeholders are well defined through creating role descriptions, ensuring preparedness and bringing appropriate people in and out of the process
  • Plan for and track training and development plans for project team members; included Workday required training or certifications
  • Oversee 3rd party vendor management and financials

Creating and maintaining proper project governance:

The HCM is a global and cross functional project that will require strong governance to enable optimal decision making. The PMO will ensure this governance exists by:

  • Liaison with Legal and Risk to ensure that compliance requirements are adhered to across the program
  • Embedding guiding principles into all processes, ensuring these are front of mind and holding all stakeholders accountable to these
  • Organising committees with clear membership, terms of reference, decision rights schedules and commitment (team meetings, steering committee(s), module teams etc.)
  • Work with external partners to ensure governance structure for decision making is clearly defined and consistently followed

Ensuring broad and deep engagement

Adoption of the HCM from all L.E.K. staff outside the project team is key and this will only be achieved through early engagement. The PMO will enable this engagement by:

  • Organizing communication out to relevant business units at the right level and frequency (e.g., to global People team on at least a monthly basis, to all core services team, all consulting team, all global Partners)
  • Building user capabilities before go live through early training, early understanding of key concepts of what the HCM will do and how
  • Stakeholder management – identifying stakeholders that require more personal communication and ensuring we engage with them appropriately

Identifying and resolving big rocks

Understanding the key issues we’re going to face before we get to them such that we plan for these (i.e., organise and run topic specific workshops if needed), issues are likely to include:

  • Uncovering and describing hidden processes
  • Performance management process
  • Finding and resolving global variations

Ensuring ongoing success through enabling transition

The PMO role will not be permanent. It is essential that all the above components are done with proper documentation and team engagement to enable a seamless handover to another PMO and then to full time team that will manage the HCM


Qualifications:

  • Bachelor’s Degree required. Workday Education or Certification is a plus
  • 4+ years of full life-cycle implementation experience of Workday (or another HMC platform)
  • Good knowledge of HR Systems and Workday HCM
  • Knowledge of ADP and/ or HR Select a plus
  • Proven experience working on international and multicultural context
  • Excellent and demonstrated communication skills (written and oral)
