Workplace Services Coordinator

Job summary:

The Workplace Services Coordinator will provide office operations support to the New Jersey office as well as work closely with the BRG Corporate Finance case management team. This is a hands on role supporting the office and working with the Office Director to attain office goals, develop effective working relationships with internal client base, and implementing processes to ensure effective and efficient operations of the workplace. This position reports to the Regional Workplace Services Director and on-site Office Director.

Job Responsibilities:

  • Day-to-day office operational support including resetting of oversight of hoteling processes and conference room.
  • Administrative tasks including time/expense entry, travel arrangements, scanning documents, data entry, FedEx logistics, mail delivery, etc.
  • Assist with new employee onboarding, workspace setup, and onsite recruiting support.
  • Maintain office equipment, office supplies, lunch ordering and restocking/maintaining pantry areas as needed.
  • Facilities coordination/building management contact.
  • Management of vendors, accounts payable; budgeting.
  • Management of relations with other functions throughout BRG
  • Event planning, coordination for multiple annual events including execution which sometimes requires after-hours support.
  • Support marketing coordination to include maintaining contacts database, coordinating calls; assisting with pitch material.
  • Support fee application and conflict check process.
  • On-site IT-related responsibilities such as being a resource for firm technology including being well versed in Microsoft Teams and other firm tools.
  • Assist with office and team level communication responsibilities from both notification and aiding in reinforcing team success and office culture.
  • Supporting MD’s in the office

Qualifications:

Education:

  • BA degree/ or equivalent

Experience:

  • Minimum of three years of experience as a lead in a professional services environment, preferably consulting or legal. Notoary is a bonus.
  • Large event coordination experience.
  • Intermediate to advanced computer skills required, including proficiency in Microsoft Access, Excel, Word, PowerPoint, Outlook, and Teams.

  • Be a creative problem solver that can think creatively, work independently, and proactively seek guidance when appropriate.
  • Demonstrate meticulous attention to detail, follow through on assignments to completion, and multi-task in an environment with rapidly changing priorities
  • Project a mature presence, empathy and intellectual curiosity while balancing the ability to receive direction and digest constructive feedback.
  • Demonstrate strong time management, project management and organizational skills.
  • Exhibit excellent written and oral communication skills with a confident and clear communication style and ability to handle sensitive information and preserve confidentiality.
  • Technically savvy with ability to quickly learn new software systems such as hoteling, time/expense entry and intranet tools.

Candidate must be able to submit verification of their legal right to work in the U.S., without company sponsorship.
