Bilingual ECO Coordinator (Part-time) (Temporary)

The Education Center Enrollment Coordinator role is designed to contribute to the process of building capacity within World Relief to serve Afghan newcomers, especially women, supporting them through the education center team’s outreach to, enrollments in and provision of services that support newcomers by empowering them with the educational knowledge and experience that will allow them to flourish and build strong connections and community in their new home.  


Role & Responsibilities

New Arrival Projection
  • Extract last month’s new arrivals from Dynamics into a spreadsheet
  • Filter according to guidelines
  • Research and input any necessary fields that are missing for each client to include: address, phone, language, country, education and ESL level
  • Prepare spreadsheet for staff projection for future course and workshop offerings, information session and volunteer and interpreter services 
Management over Education Center Enrollment
  • Contact clients for enrollment and arrange appointments for intake and assessments (estimated 100 enrollments per month, 30-45 minutes per enrollment intake)
  • Create self-sufficiency plan, Group Services goal and client notes to be added into corresponding forms.
  • Prepare all necessary forms from Dynamics for each individual for new enrollment to include: Cover Sheet, Client Agreement forms, Proof of Eligibility Documentation, Self-Sufficiency Plan forms, Group Services form, Consent to Obtain and Release Information forms, DSHS Consent form, Media Release form.  Total pages for each client is 16+ pages.
  • Conduct intake and assessment for each client ensuring all forms are signed with signatures and dates for client, staff and interpreter.  Estimated time for each client is 30-45 minutes depending on preparation of auto-fill documents.
  • Create client notes for each client oClose enrollments every 3 months oUpload all documents for each client into Dynamics
  • Train new staff on enrollment processes oImplement different enrollment process for referrals to PC Group Services and train staff 
Management of all Education Center Referrals
  • Receiving all referrals from Dynamics, Teams and front desk
  • Inputting and organizing referrals into a referral spreadsheet for weekly review 
  • Database Management of Education Center Events in Dynamics
  • Create an event for all courses and workshops
  • Add all attendees for courses and workshops
  • Provide quarterly report to manager 
  • Participate in and support the education team with other activities, such as workshops, events and activities like celebrations and information nights. 
  • Dynamics Training as provided by headquarters
  • Interpret for classes or conduct in Dari: enrollments, classes, client communication and follow-up. 
  • Other duties as assigned.

Requirements

  • Bilingual (English and Dari) 
  • Valid drivers license, access to reliable vehicle and clean driving record


$18 - $20 an hour

·         While performing the duties of this job, the employee is required to have ordinary ambulatory skills sufficient to visit other locations

·         The ability to stand, walk, stoop, kneel, crouch, and manipulate (lift, carry, move) light to medium weights of 10-15 pounds.

·         Requires good hand-eye coordination, arm, hand and finger dexterity, including ability to grasp, and visual acuity to use a keyboard, operate equipment and read application information.

·         The employee frequently is required to sit, reach with hands and arms, talk and hear.

 

WORK ENVIRONMENT: 

 

·         General office setting. World Relief also offers hybrid and remote schedules for limited positions.

·         Great lengths of time working on computer, reading from computer screen, entering information, standing at copier or fax machine, and some time on the phone or in virtual meetings may be required.

·         Year-end archiving activities involve repeated lifting and bending.

·         Physical, emotional and intellectual demands

·         Equipment used: Employee computer (desktop or laptop), printer, and copier.
