Bilingual Office Coordinator/Front Desk

Englert is seeking an Office Coordinator/HR Specialist to join our team to assist with management assistance and provide excellent workplace services. Our ideal candidate will oversee the reception area and will assist safety protocols.

Position: Englert Office Coordinator/Front Desk

Englert is seeking an Office Coordinator to join our team and provide excellent workplace services. The ideal candidate will be stationed in the reception area, maintaining a welcoming environment for employees and visitors while assisting with administrative and clerical tasks.

Job Responsibilities:

  • Monitor and maintain the reception area to ensure a professional and organized appearance.
  • Greet all visitors and employees in a friendly, prompt, and courteous manner.
  • Answer and transfer phone calls to appropriate employees.
  • Monitor surveillance cameras periodically to identify disruptions or security concerns.
  • Perform routine walkaround inspections of the interior and exterior of the facility.
  • Schedule and coordinate appointments for senior staff and executives.
  • Schedule meetings and arrange lunches as needed for executive functions.
  • Manage conference room bookings and resolve any related issues.
  • Collect, sort, and distribute mail to the appropriate staff and departments.
  • Respond to all customer inquiries in a polite and timely manner.
  • Manage and order office supplies to ensure the workplace is well stocked.
  • Order and maintain marketing materials and catalogs to support sales initiatives.
  • Assist in translations when necessary.
  • Report any suspicious behavior or security concerns to the appropriate personnel.
  • Secure all exits, doors, and windows when necessary.
  • Respond to alarms or security calls and react in a timely manner.
  • Submit reports of any security or surveillance activity when required.
  • Assist management staff with administrative support as needed.
  • Adhere to all company regulations and policies.
  • Assist the VP of Englert with any administrative tasks such as meeting planning & events
  • Collaborate with employees for incoming visitors to ensure readiness for visitor's needs (conference rooms booked or safety gear available)
  • Bring creative ideas on how to enhance the office experience for employees
  • Assist with administrative duties such as ordering supplies, coordinating meetings and social events.
  • Assist in uniform program by ordering/replacement of uniforms and keeping track of uniforms for employees etc.
  • Manage company vehicles for our machine assembly department. 
  • Hourly Rate: $20/hour 

 

 

Requirements & Skills

  • In office 5 days a week

  • Good communication skills – verbal (Bilingual in Spanish is required)
