As an Executive Assistant at Harbor.ai, you will provide comprehensive administrative and strategic support to our C-level executives, enabling them to optimize their time and effectiveness. You will serve as a critical liaison between leadership and internal/external stakeholders while managing complex schedules, communications, and projects that drive our company's mission forward.
Bachelor's degree
2-3 years of experience directly supporting C-level executives
Exceptional organizational and time management skills
Advanced proficiency in Microsoft Office suite and collaboration tools
Strong written and verbal communication skills
Experience in InsurTech, FinTech, or related industries
Previous startup experience
Knowledge of CRM systems and executive productivity tools
Experience coordinating board meetings and investor relations
Manage complex executive calendars, including scheduling meetings, calls, and travel arrangements
Coordinate and prepare materials for executive meetings, board meetings, and presentations
Handle sensitive and confidential information with discretion and professionalism
Draft and edit correspondence, reports, and other communications on behalf of executives
Serve as the primary point of contact for internal and external stakeholders
Coordinate cross-functional projects and initiatives at the executive level
Plan and execute company events, executive retreats, and team-building activities
Manage expense reports and administrative budgets
Anticipate executive needs and proactively provide solutions
2-3 years of experience in an executive support role
Demonstrated ability to prioritize competing demands in a fast-paced environment
Excellent interpersonal skills and professional demeanor
Strong problem-solving abilities with attention to detail
Experience managing confidential information with discretion
Proficiency with calendar management and travel coordination
Exceptional judgment and decision-making capabilities
Ability to work independently with minimal supervision
Proactive mindset with strong anticipatory skills
Resilience and adaptability in a rapidly evolving startup environment
Diplomatic communication style with all levels of the organization
