Executive Assistant – C-Suite Support

Position Overview

As an Executive Assistant at Harbor.ai, you will provide comprehensive administrative and strategic support to our C-level executives, enabling them to optimize their time and effectiveness. You will serve as a critical liaison between leadership and internal/external stakeholders while managing complex schedules, communications, and projects that drive our company's mission forward.

Basic Qualifications

  • Bachelor's degree

  • 2-3 years of experience directly supporting C-level executives

  • Exceptional organizational and time management skills

  • Advanced proficiency in Microsoft Office suite and collaboration tools

  • Strong written and verbal communication skills

Preferred Qualifications

  • Experience in InsurTech, FinTech, or related industries

  • Previous startup experience

  • Knowledge of CRM systems and executive productivity tools

  • Experience coordinating board meetings and investor relations

Key Responsibilities

  • Manage complex executive calendars, including scheduling meetings, calls, and travel arrangements

  • Coordinate and prepare materials for executive meetings, board meetings, and presentations

  • Handle sensitive and confidential information with discretion and professionalism

  • Draft and edit correspondence, reports, and other communications on behalf of executives

  • Serve as the primary point of contact for internal and external stakeholders

  • Coordinate cross-functional projects and initiatives at the executive level

  • Plan and execute company events, executive retreats, and team-building activities

  • Manage expense reports and administrative budgets

  • Anticipate executive needs and proactively provide solutions
