We are seeking a dynamic and skilled Senior Executive, Events and Operations to join our team. The role will be responsible to plan, coordinate, and execute career-centric events as well as managing other shared operational functions such as facilities and office administration. This individual will work closely with staff, students, employers, and other stakeholders to ensure the seamless delivery of services and events that support our students' career development and enhance their corporate readiness.
Key Responsibilities:
1) Event Planning and Coordination:
Event support to running of career fairs, employer panels, workshops, and networking events.
Collaborate with internal and external stakeholders to secure participating employer, panellists and/or guest speakers.
Oversee logistical arrangements, including site recce, venue setup, furniture rental, AV requirements, and catering services.
2) Email Administration, Calendar Management & Scheduling
Manage role-based email accounts, responding promptly and professionally to all inquiries and requests.
Maintain key calendars and ensure the Director's schedule is efficiently organised, balancing competing priorities.
Prioritise and allocate time for high-impact activities, adjusting schedules to avoid conflicts and optimise productivity.
3) Operations Management & Office Administration:
Oversee office resources (supplies, equipment), ensuring efficient use and cost control while maintaining strong vendor relationships.
Ensure smooth office operations, including maintenance, security, cleaning, and adherence to health and safety protocols.
4) Report Preparation and Analysis
Collect and analyse feedback from events, preparing post-event reports summarising outcomes, challenges, and improvement suggestions.
Prepare regular reports on events, office operations, and facilities management, tracking progress, maintenance, and pending tasks.
5) Stakeholder Engagement:
Extending first level support and response to students and employers through management of role-based email accounts.
Fostering close ties with both internal and external stakeholders (i.e., CAO teams, appointed vendors) to ensure smooth execution of events and office resource management.
Job Requirements
A Diploma/Bachelor’s degree from a recognised tertiary institution in Business Administration, Event Management, Communications, or related fields.
2 to 3 years of relevant work experience preferably in an academic or similar environment.
Experienced in office administration and operations and events.
Familiarity with career services and student development programmes.
Excellent interpersonal, communication, stakeholder engagement and management skills.
Ability to work independently and as part of a team in a fast-paced environment.
Strong time management, organisational and problem-solving skills.
Analytical, meticulous and capable to handle sensitive information with confidentiality and professionalism.
Proficient in Microsoft Office (Excel, Powerpoint, Word). Knowledge of design tools (Canva, Photoshop) a plus.
