About the Opportunity

The Student Financial Services Office of West Virginia University is seeking a Information Systems Specialist. The incumbent will assist in the development and maintenance of multiple systems, including but not limited to the Banner Financial Aid and Student Accounts modules, Academic Works, etc. This position will be part of a team whose goal is to improve the efficiency and effectiveness of all processes associated with the student experience under the purview of SFS. In addition to creating and monitoring daily and cyclical processes, this position will play a key role providing data analysis, report design and the development of systems and processes to deliver data to both internal and external users. The successful candidate will be able to function well both independently or as part of a team.

What You'll Do

The individual in this position will be part of a team that is responsible for the annual set up, periodic processing, testing, maintenance, and upgrades to the Banner Financial Aid and Student Account systems. They will also play a key role in the development of any new software systems, reports for internal and external users, etc.

This role will perform, but not be limited to, the following duties:

  • Create both ad hoc & standardized queries, reports and population selections to assist staff and provide senior leadership with data for strategic planning and analysis.
  • Assist with maintenance of the Academic Works scholarship matching system and the corresponding Argos tools that support the system.
  • Create and/or automate processes to improve the effectiveness and efficiency of all offices within the Student Financial Services division.
  • Maintenance of created and automated financial aid and student account processes.
  • Create documentation to support both new and existing processes.
  • Help in the resolution of data irregularities.
  • Be equally able to work as a part of a team individually or independently.
  • Aid with the annual setup and rollover of the Banner system for processing financial aid.
  • Aid with the monitoring, modification and control of systems necessary to provide the financial data required for accurately recording Student receipt and disbursement activity in the University and State accounting systems.
  • Aid with the process of student billing, handling of delinquent accounts and collections;
  • Aid with the testing of Banner software patches and upgrades to reflect changing regulations, tracking, budgeting and packaging practices and maximize functionality in both the Student Account receivables and Financial Aid modules.
  • Help with the resolution of system errors and liaise with internal users and vendors as needed.
  • Aid in the development and/or maintenance of Banner setups for communication, SAP, budgeting, packaging, billing, collections.
  • Plan, prepare and present instructional manuals and/or training for users as needed.
  • Performs other duties that may be assigned by the manager of the Student Financial Services Office Strategic Operations unit.
Qualifications
  • Bachelor’s degree in either computer science, information systems, finance or related field or 1-year practical experience with a student information or scholarship management system.
  • A minimum of two (2) year experience involving:
    • Experience with an integrated information system.
    • Experience with Excel.
    • Experience with a scholarship matching system.
  • Proven ability to efficiently operate a personal computer with advanced knowledge of Microsoft Word, and Excel, including the proven ability to apply these applications to create sophisticated analytical tools.
  • Knowledge of standard office procedures and operations.
  • Ability to rapidly acquire extensive working knowledge of the University’s student system primarily the accounts receivable module.
  • Proven analytical ability to interpret, apply, and implement federal, state, university, and professional guidelines to unique University situations.
  • Demonstrated ability to learn reporting systems used for generating reports.
  • Demonstrated ability to reason logically, organize information, analyze data, perform financial calculations, prepare analyses and summaries, and solve complex issues or problems, and to follow complex written or oral instructions.
  • Ability to interact professionally and diplomatically with associates, students, parents, and University community.
  • Ability to work independently and reliably, exercising good judgment, and being innovative and self-starting.
  • Must have good time management skills to organize work accurately under pressure and recognize priority deadlines in high-risk situations.
  • Strong mathematical and analytical skills necessary to perform financial calculations and reconciliations accurately with great attention to detail.
  • Demonstrated ability to maintain institutional attendance and punctuality standards.
  • Ability to interpret and apply University, State and Federal laws/guidelines and policies and procedures to situations.
  • Strong oral and written communication skills necessary to explain complex guidelines to university staff and customers, to justify recommendations, and to interact with regulatory agencies and auditors.
  • Ability to rapidly acquire thorough knowledge and understanding of institutional policy and practice regarding accounts receivable and loan issues.
  • Demonstrated ability to foster cooperation and harmony among groups and exercise professional judgment in new and/or unusual situations.
