Executive Assistant, Corporate Development

We are looking for an Executive Assistant to provide support to the Chief Corporate Development Officer and Corporate Development Team. This person provides a wide range of administrative support tasks and works both independently and within a team environment. 

This individual will bring strong organization skills and a proactive attitude. He/she will need to manage ambiguity and multiple priorities. The utmost discretion is imperative, as this role will be privy to sensitive and confidential information

What You’ll Do 

Executive Support 

  • Extensive scheduling, calendar coordination, managing complex and changing calendars, working through scheduling roadblocks while optimizing for the needs and priorities of the business. Practice sound judgment in prioritizing the Executive’s time.
  • Manage, prepare and submit expense reports for the Chief Corporate Development Officer.
  • Coordinate domestic and international travel arrangements as needed and process travel expense reports in a timely manner.
  • Act as the single point of contact driving and organizing all outside events and offsites for the Corporate Development organization.
  • Support all logistics and planning related to in-person prospect meetings and conferences.
  • Support data room management: Organize documents, Route documents for leadership and legal sign-off, manage access.
  • Identify opportunities to streamline efforts and improve processes (e.g. budget coordination, hiring).
  • Demonstrate the utmost professionalism when working with external organizations. 
  • Maintain compliance with all company policies and procedures.
  • Perform other related duties as assigned.

Meeting Preparation 

  • Prepare template slide decks and briefing materials for selected external and internal meetings. Briefing materials include attendee bios, background on external companies and surfacing the relevant key points for each meeting.
  • Take notes, record meeting minutes, capture key dialog, themes, outcomes and action items at selected internal and external meetings.

Competitive Intelligence Research 

  • Conduct ad hoc research and synthesis, such as pulling together summaries on a topic or competitive intelligence. Regularly collaborate with cross-functional Administrative team members and provide backup for vacation/illness.


 

What You’ll Bring

  • 5-6 years of administrative experience; experience supporting a C-Suite Executive a plus; scientific or finance background a plus.
  • Excellent calendar management and proactive planning skills 
  • Ability to maintain confidentiality when working with highly sensitive information
  • Demonstrate good judgment and excellent attention to detail while working effectively with minimal direction
  • Strong organizational skills, business acumen, and timely follow-through
  • Exceptional written and verbal communication skills
  • Exemplary interpersonal skills, including relationship development, trust building and the ability to display tact, courtesy, and a high level of professionalism in all situations
  • Takes initiative, regularly identifies process improvements and ways to streamline complex efforts
  • Ability to recognize and anticipate problems before they manifest / mitigate with appropriate remedies and follow-up as needed 
  • Possess a “can do” attitude and comfortable operating as part of a greater team of administrative assistants that support one another
  • Ability to remain calm under pressure and balance multiple priorities in an ever changing environment 
  • Ability to research topics and effectively synthesize information. 
  • Advanced knowledge of computer programs and Google Docs; highly adept at using technology for efficiency and efficacy
  • Able to work in a hybrid capacity - onsite Tues - Thurs in our Sunnyvale, CA office

 

Strongly Preferred

  • Experience or strong interest in healthcare / biopharma industry
  • Prior experience in a start-up or small company environment

Pay Transparency

23andMe takes a market-based approach to pay, and amounts will vary depending on your geographic location. The salary range reflected here is for a candidate based in the San Francisco Bay Area. The successful candidate’s starting pay will be determined based on job-related skills, experience, qualifications, work location, and market conditions. These ranges may be modified in the future.

San Francisco Bay Area Base Pay Range

$101,000—$151,000 USD
