Geosyntec, a fast-paced and deadline-driven environmental professional services firm is seeking a Proposal Support Coordinator to sit in any of our Florida offices such as Boca Raton, West Palm Beach, Tampa, Orlando, St. Augustine, Jacksonville or Pensacola, FL, who will be responsible for coordinating various aspects of proposal preparation and marketing support materials to ensure that all components are completed and produced to the satisfaction of the activity sponsor within the required timeframe by evaluating and clarifying client requests and participating in pre-proposal meetings.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Plan, schedule, prepare, edit and coordinate SOQs/proposals, letters of interest, bid packages and responses to inquiries to ensure that all RFQ/RFP criteria are met;
  • Apply RFQ/RFP client instructions and decision/selection criteria in accordance with federal, state, and local laws, regulations and guidelines
  • Verify compliance with Client s RFP/RFQ requirements and criteria related to the decision/selection process, fee pricing/budgeting, and other issues; obtain from legal, insurance, and contracts departments required forms, comments, and approvals related to the submittal;
  • Schedule and track individual proposal elements and status to ensure that proposal is sent in accordance with timelines;
  • Assist with research studies of markets, competitors, and/or client prospects;
  • Apply techniques used to validate accuracy of prospect data in the contact management programs and databases;
  • Assist with the coordination of specialized proposal consultant activities;
  • Create custom marketing materials for special projects, including award nominations, conference materials, mailers, brochures and handouts, presentations, etc.;
  • Create, update and edit, presentations, qualifications, questionnaires, project descriptions, resumes, mailing lists, graphics, photos and other marketing materials, based on the technical analysis and information provided by the activity manager and team members;
  • Participate in RFQ/RFP review and/or strategy sessions to analyze a potential client in terms of target market, project size, probability of selection, and timing;
  • Identify internal staff resources as needed to support SOQ/proposal preparation and production, including graphics, word processing, printing, binding, reproduction and delivery activities; and
  • Perform special projects and related work as required.

EDUCATION, QUALIFICATIONS, AND EXPERIENCE

  • Bachelor s degree from an accredited college with a major in marketing, journalism or liberal arts discipline with an emphasis on communications and writing for a non-technical audience; or 3 years of related experience and/or training in a marketing professional services environment for engineering, architecture, commercial construction or legal firms; or equivalent combination of education, experience and training that provides the required knowledge, skills, and abilities to perform the responsibilities of the position.   • Experience with the production of technical proposals and reports. (preferred)
  • Working knowledge of production techniques to support proposal, presentation, or other sales and marketing activities. (required)
  • Formatting, writing, editing, and proofreading skills with strong attention to detail. (required)
  • Advanced computer literacy using MS applications and Desktop Publishing Software (Adobe Suite, including Acrobat, InDesign, Office Professional, Outlook). (required)
  • Windows proficiency including, MS Professional (Word, Excel, and PowerPoint), Adobe Acrobat, and typing ability. (required)
  • Ability to understand and follow complex oral and written instructions. (required)
  • Ability to work both collaboratively and independently to perform effectively under tight deadlines. (required)
  • Valid U.S. driver s license and a satisfactory driving record for business travel. (required)
