Program Administrative Support Specialist, Recovery

This position is open to candidates in the Tallahassee, FL area due to onsite work requirements for this hybrid assignment.

We are a leading, national consulting firm that provides compassionate, full-spectrum emergency management services including planning and preparedness, response, recovery, and mitigation services to the public and private sectors before, during and after a natural disaster or catastrophic event.

  • Compensation: $25-28/hour
  • Travel/Location: Local to Tallahassee (Remote and onsite at Florida locations)
  • Benefits: Temporary positions do not include benefit except where required by law.

 

Mission of Role/Position Summary:

The Program Administrative Support Specialist plays a key role in supporting the daily operations of our client. This role will provide essential administrative and clerical support to ensure the smooth daily operations for our internal team in support of our clients. The ideal candidate will have strong communication skills, proficiency in office software, and the ability to multitask in a fast-paced environment.

Tasks, Duties, and Responsibilities:

  • Document preparation: Prepare, proofread, and edit reports, presentations, and correspondence as needed.
  • Scheduling: Coordinate and schedule meetings, appointments, and other arrangements.
  • Data entry and record keeping: Maintain organized records, databases, and filing systems for easy retrieval and reference.
  • Supply management: Monitor and order office supplies, ensuring inventory is well-stocked and organized.
  • Communication support: Draft and distribute emails, memos, and other office communications as required.
  • Program project assistance: Provide administrative support to specific projects, which may include research, data collection, and preparation of project-related documentation.
  • Customer service: Address inquiries from clients, vendors, and team members promptly and professionally.

Knowledge, Skills, and Abilities:

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize effectively.
  • Professional demeanor and customer service orientation.

Supervisory Responsibilities:

This position will not have supervisory responsibilities.

Expected Hours of Work:

Schedule may vary. Work on evenings and weekends may be required. Dependability and punctuality are paramount.

Travel Requirements:

  • Up to 50% travel is expected for this position.
  • Must be willing to travel and deploy to client sites for extended periods of time.

Physical Demands:

  • Mobility required on-site with clients.
  • Sitting or standing for hours at a time.
  • Ability to work at a computer for extended periods of time if needed.
  • Ability to lift up to 50 lbs. repetitively throughout the day and as needed.

Working Environment:

  • Emergency management personnel may work in an office or home environment or be deployed to the field which may require working outdoors in adverse weather conditions.
  • Work may be on-site with clients ex: EOC, hospital, debris sites or local government buildings.
  • All AC Disaster Consulting (ACDC) positions are remote work site positions with the home location agreed upon at time of hire.
  • If the remote work site locations change, ACDC Human Resources must be made aware, and leadership needs to approve any site changes for business registration and payroll tax purposes.

Experience/Education Required:

  • A minimum of one (1) year of experience in duties associated with management consulting services.
  • One (1) year or more of experience in direct customer service related role.
  • Proficiency in Microsoft Office Suite programs, particularly Excel.
  • Demonstrated strong organizational skills and attention to detail.

Experience/Education Preferred:

  • Two (2) or more years of experience in an administrative or office support role.
  • Associate or higher degree in a field related to emergency management.
  • Experience utilizing Salesforce.

Additional Qualifications:

  • Must be 18 years of age or older.
  • Eligibility to work in the United States without employer sponsored visa is required. We are not able to employ those located outside of the US.
  • Must pass company and any applicable client background check and reference check upon offer of employment.
