Job Description

Summary of Responsibilities:

Reporting to the Director of Event Sales & Services, responsibilities and essential job functions include but are not limited to the following:

  • Consistently offer professional, friendly and engaging service
  • Confirm all event related information with clients in a timely manner
  • Establish and maintain rapport with clients, prior to, during and post conference, encouraging repeat business
  • Organize conference, cruise, entertainment and meeting bookings from date of booking to departure, including meeting requirements, guest room requirements, guest room pickup, food & beverage and audio visual
  • Create detailed event orders and resumes to ensure all operational departments are provided accurate information in a timely manner.
  • Create floor plans for each event to ensure banquets and clients are in agreement prior to set up
  • Conduct pre-conference meetings with clients and pertinent departments to confirm all relevant details are communicated
  • Conduct and/or attend daily meeting to review event contracts and ensure last minute changes are communicated with appropriate departments
  • Create proposals for new event business, process changes to contracts and addendums
  • Organize hotel site tours to showcase the Fairmont Olympic Hotel
  • Initiate billing procedures, ensuring any deposits and/or credit applications are received with adequate information and within an acceptable time frame
  • Handle special projects in addition to daily tasks
  • Ensure open communication with department coordinators, holding consistent one-on-one meetings
  • Support and encourage effective working relationships within the team and supporting departments
  • Follow departmental policies, procedures and service standards
  • Follow all safety policies
  • Other duties as assigned

Qualifications

Qualifications:

  • Previous leadership experience within a similar role preferred
  • Previous Front Desk, Event Coordinator and/or Reservations experience required
  • University/College degree in a related discipline preferred
  • Previous Property Manager System and Passkey experience preferred
  • Computer literate in Microsoft Window applications required
  • Strong interpersonal and problem solving abilities with a high attention to detail
  • Strong organization and time management skills
  • Excellent communication skills, both written and verbal
  • Ability to work well under pressure in a fast paced environment, handling many tasks simultaneously
  • Ability to work independently and complete assigned tasks, as well as work cohesively as part of a    team
  • Ability to focus attention on guest needs, remaining calm and courteous at all times
  • Highly responsible & reliable
