The Accounting Assistant is responsible for managing accounting processes for the general operations of the Chemistry Department.
Primary Duties & Responsibilities
Travel Expenses
-
Assist students, scientists, staff, and faculty in processing travel-related documents, explaining organizational policies/procedures as required.

Calculate conversion rates for foreign travel.
-
Collect supporting documentation.
-
Enter expense reports and spend authorizations for approval, cross-referencing as necessary.

Maintain records in accordance with the University’s record retention policy.
Reimbursements and Paying Invoices
-
Receive requests for reimbursements.
-
Collect supporting documentation.
-
Enter expense reports and miscellaneous payments for approval in Workday.
-
Process supplier invoices for payment.
-
Maintain records in accordance with the University’s record retention policy.
Internal Service Deliveries (ISDs) and Customer Invoices (CIs)
-
Responsible for inter- and intradepartmental billing for the department.

Input invoices in Workday for services provided to external customers.
-
Provide copies of Internal Service Deliveries to Principal Investigators (PIs) for review and approval.

Process ISDs in Workday after PI approval.

Maintain records in accordance with the University’s record retention policy.
Procurement Card Administration
-
Process ProCards for the department, coding for accurate budget reporting for all cardholders.

Maintain files and documentation and educate department personnel on policies; alert cardholders of prohibited practices/purchases.
Liaise with Tax Department and Central Accounting Offices

Communicate with Tax and Accounting offices to complete accounting processes correctly with the most updated protocol.

Communicate to the Chemistry Department about updates or changes to accounting, travel, etc. protocols.
Budget
-
Provides reconciliation support for annual budget process.

Monitors account balances, maintains open encumbrances, process journals and budget adjustments.
Perform other duties as assigned.
Preferred Qualifications
-
Associate’s or Bachelor’s degree in accounting plus two years of experience.

Knowledge of University accounting policies and procedures.
-
Experience with University systems, specifically Workday.

Attention to detail and accuracy in financial transactions and organization of supporting documentation.

Ability to work independently with minimal supervision and manage competing priorities.
-
Excellent written and verbal communication skills; able to confidently and effectively present information to individuals with varying roles and levels understanding of financial matters.

Proficient Microsoft Office skills, specifically Excel and Word.
-
Ability to adapt to changing protocols, regulations, etc.
-
Maintaining confidentiality regarding financial transactions.
-
Willingness and ability to learn and become proficient with new computer software to manage financial transactions.

Knowledge of bookkeeping and/or finance.
-
Customer service skills.
High school diploma or equivalent high school certification and two years office, payroll, accounting, or business experience.

$18.36 - $28.47 / Hourly
The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
