Position Overview: We are looking for both an Accounts Receivable and Accounts Payable Associate.

Classification: Non – Exempt

Summary/Objective

The positions primarily involve:

AR: Maintaining the company’s receivables, including but not limited to processing payments & returns, helping reconcile account balances and supporting sales in correcting customer related issues. AP: processing vendor payments & credits, helping vendors reconcile their account balances, and supporting the company in correcting billing related issues

Both positions will be working closely with the Accounting Manger to prepare reconciliations, analysis, procedures, and other assigned tasks.

To be successful, you must be task-oriented and be able to prioritize well. Math competency is essential, as well as attention to detail. You must be able to handle multiple tasks simultaneously while maintaining strict confidentiality.

Essential Functions/Responsibilities

A/P Position Responsibilities

  • Responsible for full-cycle accounts payable
  • Analyze vendor accounts and answer vendor and accounts payable inquiries
  • Prepare AP reports and maintain AP files
  • Resolve account discrepancies by investigating documentation, issuing stop payments, and making adjustments
  • Report any unusual billing procedures
  • Audit all vendor invoices against manifests
  • Request and maintain annual W-9s
  • Resolve customer inquiries with excellent customer service
  • Document procedures and update as necessary
  • Enter new vendors in NetSuite, collecting W9s for tax reporting and verifying 1099 eligibility.
  • Administer Rho - automated credit card payment system.
  • Assist with month end close tasks (Prepaids, accruals, AP & cash reconciliations).
  • Review expense coding and make necessary corrections.
  • Serve as Back Up to AR role as requested.
  • Update SOPs as needed.
  • Annually process & issue 1099s.
  • Alert management to noncompliance to policies or potentially fraudulent activities.
  • Process incoming and outgoing mail
  • Order and distribute all office supplies
  • Serve as back up to Accounts Receivable

A/R Position Responsibilities

  • Process customer payments
  • Process customer credits and refunds
  • Collect on delinquent accounts
  • Resolve customer inquiries with excellent customer service
  • Review credit applications
  • Post deposits into NetSuite for credit card, PayPal, wire, & check payments
  • Issue monthly customer statements
  • Prepare weekly reporting on Accounts Receivable (A/R) aging
  • Respond to internal inquires and maintain A/R inbox
  • Assist in correction of sales & warehouse invoicing and crediting errors
  • Process incoming and outgoing mail
  • Document procedures and update as necessary
  • Assist in month end tasks related to A/R
  • Cross train with accounts payable and provide desk coverage when needed
  • Various administrative & accounting duties when needed
  • Post journal entries as needed
  • Calculate trademark fees

Required Education and Experience

  • High School Diploma required
  • Two years Accounts Payable/Receivable experience required
  • Previous experience in general accounting preferred
  • Fundamental understanding of basic accounting principles
  • Must be highly detailed oriented and organized
  • Must be able to maintain a high degree of confidentiality
  • Must have effective communication skills and be able to multi-task and react quickly to an ever changing environment.

Preferred Qualifications

  • Associates or Bachelor’s Degree in Accounting/Finance.
  • Experience with NetSuite and/or Rho.

Physical Demands

While performing the duties of this job, the employee is regularly required to sit, stand, walk and use hands and fingers to operate a computer keyboard, mouse, and telephone to talk and hear. The employee is frequently required to sit and reach with hands and arms. The employee must occasionally lift and/or move up to 20 pounds.

Position Type/Expected Hours of Work

Shifts are M-F, On site, 7:30 – 4:00, 8:00 – 4:30, 8:30 – 5:00, however, is based on business needs. Occasional overtime may be required.
