Midtown Investment Bank is looking for a Vice President will work within the Global Payroll team and will help oversee the global payroll operations – vendors, systems, payroll cycles and processes, as well as integration with HCM, Finance and Accounting, and other cross functional teams. This role reports into Finance and Accounting. You will be a key contributor to the financial operations of our growing global Firm. You will be responsible to help drive timely and accurate and compliant payrolls, improving end to end processes, drive quality client service, and providing analysis and reporting where needed or requested.
In addition, the responsibilities include processing employee data, producing HCM-related reports and ensuring compliance with relevant government regulations. You will also be expected to help drive continuous process improvement initiatives to enhance efficiency, accuracy, and scalability of our global payroll operations. You must possess the ability to adapt to evolving regulatory requirements, and embrace the Firm’s technology, particularly in the areas of automation. You must be a hands-on, roll up your sleeves manager and should enjoy a fast-paced, challenging, and collegial environment.
Job Responsibilities:
• Process semi-monthly payroll for 850+ employees using Workday Payroll.
• Possess strong analytical skills to identify issues, solve complex problems and optimize payroll processes globally, with a specific focus within the financial industry.
• Oversee the accurate processing all semi-monthly and off-cycle payrolls – bonus, restricted stock, dividends, etc. on a timely basis.
• Ensure all earnings are appropriately paid to employees, and confirm accuracy of taxes, garnishments and benefit deductions are withheld compliantly across multi-state tax jurisdictions.
• Partner with Workday administrator to optimize system where necessary.
• Audit payroll data and preview before transmission to confirm accuracy. Complete payroll reconciliation must be in place.
• Collaborate with internal teams on equity administration and mobile employee reporting.
• Interpret pay policies, (e.g., vacation, LOA, disability, workers compensation, withholding exemptions, etc.) and ensure appropriate amounts/deductions are correctly calculated.
• Ability to adapt to evolving regulatory requirements, organizational changes, and technological advancements in the payroll landscape.
• Generate ad hoc reporting, analysis, and reconciliation of people data for HCM, Finance, and Accounting.
• Manage tax agency and ensure all payroll reporting for various tax jurisdictions are filed on time.
• Flexibility to work across multiple time zones outside of normal US workdays.
• Liaise with internal and external auditors and manage all payroll tax audits – including Worker’s compensation.
• Research vendor requirements and implement new integrations as needed.
• Other projects as necessary.
Requirements:
· Minimum of 5 years of experience as a payroll process manager.
· Experience recording and processing stock compensation awards and other equity instruments.
· Hands on payroll processing experience using Workday Payroll and ADP and possess the ability to quickly learn new tools and vendors.
· Technical ability to work with multiple sources of data, drive data imports and process automation.
· Advanced Excel skills, including pivot tables and v-lookups and Macros for data analysis and reporting purposes.
· General ledger accounting skills and ability to submit payroll accounting entries to the Accounting team.
· Excellent written and verbal communication skills.
· Experience responding to escalations from employees, managers, auditors and government agencies; conduct in-depth troubleshooting/research involving multiple stakeholders, systems, and processes.
· Well-developed customer service skills and a passion for excellent client service.
· Flexible and creative, with ability to learn new and complex concepts quickly.
· Exceptional work ethic – ability to “roll up sleeves” and complete assignments on time and sometimes outside of a normal workday.
· Ability to help foster a culture of collaboration, accountability, and continuous improvement in global payroll operations.
· Ability to balance strategic thinking with detailed, focused execution.
