The Administrative Assistant for the Office of Field Placement and Certification provides efficient administrative and office support services for the Assistant Director/Field Placement, Records and Teacher Certification. The incumbent also provides support to the Office of the Director, SOE, and the Assistant Director, SOE as requested.
Major responsibilities include providing administrative office assistance in supporting field placement and certification for the SOE undergraduate and graduate programs at all on-campus and off-campus sites; coordinating and monitoring record-keeping procedures and various activities related to field placement and certification; and communicating with SOE faculty and students to ensure understanding and compliance with SOE/university policies and procedures regarding field placement and certification, as well as those of the NJ Department of Education. Additional responsibilities involve administrative and office assistance for: payroll and budget processes; field placement scheduling; faculty and student records; student orientation scheduling; working with cooperating teachers and supervisors; purchasing; ordering supplies/resource materials; and data management, analysis and reporting.
Required Qualifications:
1. High School diploma or GED required. Completion of commercial courses related to secretarial, general office and administrative skills, or demonstrated equivalency through work experience, preferably in an academic environment. College credits a plus.
2. A minimum of 3 years administrative work experience, preferably in a multi-faceted, fast-paced work environment, including office oversight responsibilities, experience with budget maintenance, and interfacing with multiple organizational units.
3. Computer proficiency for word processing, spreadsheet, data management, and reporting applications. Knowledge of Microsoft Word and Excel, e-mail, graphics, and on-line services preferred. Knowledge of Microsoft PowerPoint and Access, and Ellucian, a plus. Ability to quickly learn new computer programs/applications.
4. Strong written and verbal communication and interpersonal skills, problem-solving ability, and organizational skills to work effectively with faculty, staff, and students.
5. Must work well in a fast-paced, active office. Must be detail oriented.
6. Employment is contingent upon a satisfactory background check. Candidates for hire will be required to sign a waiver authorizing the background check and produce a Social Security Card.
