Become an Administrative Aide 3 at Southern California Edison (SCE) and build a better tomorrow. In this job, you’ll support to the department workgroup to include but not be limited to, meetings, minutes, office supplies, electronic devices, calendar management. This Administrative Aide orders all office supplies, quarterly standard updates, handles phone calls and directs to Department Employees who can answer questions and provide service to all departments within Edison. These administrative duties are in support of the Metro East Underground Civil Construction & Inspection organization.

- Reviews, verifies, and inputs Request for Underground Civil Construction (PWRD 88) Construction & Maintenance packages into ClickSchedule and routes accordingly.
- Processes underground civil construction work orders of all types of commodities which includes mainly maintenance and miscellaneous repairs (DIMP) that are date compliant and large Capital projects that are sensitive to operational dates.
- Reviews and processes completed PWRD 88 packages for accuracy and completeness, updating databases (ClickSchedule) as needed.
- Creates, updates PREQ shell for planned work in Ariba.
- Files completed and invoiced PWRD-88 / construction requests packages in electronic data base (As Builts, etc.).
- Distributes electronic “As Built” drawings JIS to the FAO Business Workspace in SAP.
- Tracks and maintains a list of equipment and supplies for UG Civil Group.
- Plans, organizes, and prioritizes multiple concurrent assignments, and daily tasks, adjusting to changing priorities.
- Generates expense reports, timekeeping data, and miscellaneous invoices in SAP.
- Creates agendas for monthly or routine meetings and prepares presentations and meeting materials.
- Performs as a team member along with other administrative assistants.
- Coordinates, facilitates, and runs communications for various committees and takes meeting minutes for several teams.
- Maintains a safety conscious work environment by influencing others to follow Edison safety protocols and safe work practices.
- Performs other duties as assigned.
Qualifications

The preferred
- A combination of formal education, training, and experience to gain knowledge, skills, and abilities generally equivalent to those possessed by a high school graduate.
- Experience with intense database entry and file organization.
- Experience tracking prioritizing, organizing, researching, and identifying status of work of multiple projects in various stages of development daily.
- Experience researching, coordinating, and finalizing assignments.
- Experience processing invoices, tracking, and completing paperwork.
- Ability to be assertive, creative, plan and prioritize heavy workloads, planning and completing multiple assignments in a rapidly changing environment, adjust to changing priorities, work well under pressure, and perform with minimal direction.
- Excellent telephone skills and experience handling client calls, customer service and appropriately directing calls.
- Experience with calendaring appointments using MS Outlook, coordinating, scheduling, planning meetings and conference calls.
- Experience with proofreading, editing, and reformatting documents in various formats, including PowerPoint presentations, Word documents, as well as Excel charts and tables.
- Experience handling confidential information.
- Demonstrated experience with PC applications, including Microsoft Word, Excel, and PowerPoint.
- Ability to integrate work across relevant areas, develop the business and services to improve customer satisfaction and efficiency, manage risks appropriately, develop and complete business plans, manage information, and provide excellent service to internal and external customers.
- Strong ethics, influence and negotiation, leadership, interpersonal skills, communication, and the ability to effectively manage stress and engage in continuous learning.
- Ability to create and maintain a safety conscious work environment.
You should know
- This position’s work mode is hybrid. The employee will report to an SCE facility for a set number of days with the option to work remotely on the remaining days. Unless otherwise noted, employees are required to reside in the state of California. Further details of this work mode will be discussed at the interview stage.
- Currently, the work location is in the Wildomar Service Center (cubicle only and is subject to relocate at any time to an Edison facility in the Metro East Region) and the work being performed will be in any of the following Metro East Region Service Center AOR’s: Covina, Monrovia, Montebello, and Ontario.

Testing
- This position requires testing and applicants who are identified to continue through the selection process will be invited to test via email. Reference our Information Guides for the following tests: EEI BCAB (Test #5206). Candidates who have previously passed these assessment(s), in some cases, may not need to retest again for this position.
