Objective of Position:
The Administrative Assistant is responsible for providing administrative functions for the managers. This role requires the ability to manage multiple projects simultaneously, use analytical capabilities, sound judgement, and superior customer service to all clients (both internal & external). The ideal candidate will possess structure, attention to detail, quality focus, high energy and flexibility to a high-paced deadline driven organization.
Duties and Responsibilities:

Create event-related information in database management system (Salesforce)

Register Byline for all approved conferences

Be the internal point of contact for all conference related information

Work with warehouse vendor(s) for all conference shipping logistics

Ensure proper set-up and tear-down of event space, including delivery of all conference materials to site within time frame provided by show

Provide conference attendees instructions and information on shipping and return shipping

Cultivate positive, professional relationships with meeting and event planners

Monitor events and address unexpected problems as they arise to make sure that the functions go as planned

Develop and maintain relationships with key vendors, including hotel chains, service providers, and suppliers

Communicate with event coordinators when questions arise

Inform marketing what materials are required from them for the event

Keep all documents and deadlines sent from conferences organized and accessible

Ensure required documents are sent to Accounts Payable to pay for conference

Monitor inventory status of conference materials at vendor warehouse through online site

Qualifications:

High school diploma or equivalent required.

1+ of administrative assistance experience

Good Verbal, Listening and Written Communication, Time Management skills are important.

Goal oriented with the ability to meet deadlines

Able to work individually and in a team environment

Ability to manage projects independently, drive projects to completion, implement change

Communication and interpersonal skills – ability to build strong working relationships and communicate with sales teams and leaders

PHYSICAL DEMANDS/WORK ENVIRONMENT:
Usual office environment with frequent sitting, walking, and standing, and occasional climbing, stooping, kneeling, crouching, crawling, and balancing. Frequent use of eye, hand, and finger coordination enabling the use of office equipment. Oral and auditory capacity enabling interpersonal communication as well as communication through automated devices.

The salary range for this position is $43,500 to $65,400.
