Administrative Assistant

Ecolab is seeking an experienced, professional, and dynamic Administrative Assistant to provide support to Research, Development and Engineering (RD&E) executives. This position will perform executive assistant duties including handling highly confidential information.

To be successful in this role you must be high-energy, organized, and a self-starter who initiates and anticipates, communicates well, and has excellent project management, writing, and computer skills with the ability to learn new tech platforms.

This position will follow Ecolab’s Hybrid work model, consisting of remote and in-office work at our campus in Eagan, Minnesota.

What will you do:

  • Proactively manage calendars (Outlook) and schedule meetings for multiple executives
  • Produce high quality presentations and other documents in Word, PowerPoint, and Excel
  • Store documents and manage group access to SharePoint and Teams sites
  • Make travel arrangements including logistics, agendas, developing itineraries, booking flights and accommodations
  • Prepare expense reports for executives and execute financial administrative tasks related to corporate card use and manage accurate processing of departmental invoices
  • Provide support with HR related items such as hiring, on-boarding, promotions and transfers, talent planning, salary adjustments, etc.
  • Maintain email distribution groups
  • Manage projects as requested such as supporting annual recognition events and external engagements
  • Support customer visits
  • Manage department requests including support for Research VPs and Directors
  • Make independent decisions regarding planning, organizing, and scheduling priorities for self, executives, and direct reports (within guidelines)
  • Operate seamlessly within a community of Administrative Assistant professionals who support the entire RD&E executive leadership team including our CTO when the executive officer’s administrative assistant is away

Minimum Qualifications:

  • High School Diploma or equivalent
  • 5 years of administrative assistant experience

Preferred Qualifications:

  • Bachelor’s Degree
  • Previous experience as an Executive Assistant reporting directly to senior management
  • Excellent grammar, punctuation, and spelling
  • Understanding of deadlines with minimal supervision
  • Ability to uphold confidentiality and effectively manage sensitive information
  • Excellent organization, project management and problem-solving skills with attention to quality
  • Exceptional interpersonal skills; friendly and professional demeanor
  • Advanced Microsoft Office skills (Word, Excel, PowerPoint) and Microsoft Outlook with the ability to become familiar with other key programs such as Workday
