Air Liquide Large Industries provides our customers with industrial gas and energy solutions that are vital to their own industrial production. We own and operate over 2,000 miles of industrial gas pipelines in the U.S. supplying mainly oxygen, nitrogen, hydrogen and syngas in large quantities from multiple production sources to major customers in the chemicals, petrochemicals, refining and steel industries. Our pipeline operations and industrial gas production facilities are closely monitored 24/7 within our leading-edge operations control center located in Houston, Texas. Our operations control group monitors over 89,000 data points and assists with product supply and coordination. We are constantly optimizing our supply network to provide high reliability and energy efficiencies allowing Air Liquide to adjust supply needs more quickly and effectively enabling growth to our customers.
Administrative Assistant - Center for Technical Expertise (CTE)
Financial
Strong capability with Oracle
Issue/track purchase orders and requisitions for CTE project teams
Rebilling of expenses to other AL entities including those centralized via CTE
Administer purchasing card for CTE organization
Monitor/analyze CTE expenses/budgets
Knowledge of Air Liquide purchasing and accounting systems
Coordinate with procurement for CTE Vendor setup in Avetta
Communications
Ability to enhance information transfer of experts
High capacity for working with technical experts in developing presentations and reports
Manage simple internal web sites
Coordination and development of CTE and Industrial Direction activities such as engineering training and workshops
Process confidential personnel paperwork (prepare employee requisitions, pay increase forms, relocation, termination paperwork, etc) with a very high degree of professionalism/confidentiality
Team Administration
Support for 50+ technical experts
Support Industrial Director, CTE team, and Efficiency team in general administration functions
Calendar management for CTE/Industrial Direction management
Arrangement of travel for both CTE team and Air Liquide visitors including support for passports/visas
Coordination of office space, moves/relocations
Administration of access for systems coordinated by CTE (e.g. Techstreet)
Manage office supplies, mail, phone coverage and other general administrative duties
Maintain office files/records; maintain personnel files
General
Work safely; promote safety within organization
Schedule, attend monthly sequential safety meetings
Assist in building safety requirements; promote and enforce good housekeeping
Knowledge of organization, policy, procedures and personnel in order to operate with a great deal of latitude for independent judgment on routine issues
Requirements:
Degree preferred
10+ years experience in executive administrative positions with senior managers
Good communication/interpersonal skills; ability to interface with customers at executive level
Ability to type 60 wpm minimum; take shorthand
Strong written/oral communication skills
Attentive to details/accuracy is very important
Demonstrates tact and integrity when contacting internal and external customers
Make decisions about work priorities to effectively and efficiently manage workload
Handle many tasks at once
Excellent verbal/written communication skills
Theoretical/practical business knowledge
Function in a team environment
Proficiency in use of office automation tools; Google Suite and Microsoft
Thorough knowledge of Oracle (Purchasing, Vista Plus)
