Description

The Administrative Assistant works closely with the Creative Director by providing administrative assistance and support. You are extremely available and connected via email and text, ready to send informed responses quickly. The Administrative Assistant is responsible for a wide variety of office duties while representing the Creative Director both internally and externally. Will interface with staff at all levels with the highest level of professionalism and in a manner that reflects positively on the department. You effortlessly handle day-to-day administrative duties, expense reports, corporate card reconciliation, and complicated, ever-changing travel
arrangements.

Essential Job Functions:
  • Organizes and prioritizes critical issues and required information for Creative Director to facilitate efficient decision-making.
  • Develops and maintains strong working relationships with the Leadership Team, external partners, and other departments to ensure creative plans and strategic initiatives are in alignment and deployed throughout the organization.
  • Schedule and coordinate Managers/Directors/Staff meetings, create agendas, draft and distribute meeting minutes.
  • Manage Directors daily calendars and e-mail communications.
  • Manage schedules in an extremely fast-paced environment.
  • Perform additional tasks as needed.
  • Ability to exercise complete discretion and handle highly confidential information with 100% integrity.
  • Prepare expense reports in Concur business travel and expense management software system.
  • Organizing, attending, and participating in stakeholder meetings.
  • Documenting and following up on important actions and decisions from meetings.
  • Maintain regular meetings with creative department leads, creating agendas for each meeting and taking ownership of next steps and action items.
  • Coordinate and manage travel arrangements, detailed instructions, and directions.
  • Screening and responding appropriately to emails on increasingly complex matters, in a manner that reflects an ability to discern between critical and less urgent matters.

Position Requirements:
  • High School Diploma required. College preferred.
  • Prior Administrative Assistant experience required. Minimum of 3-5 years Administrative Assistant experience is preferred.
  • Advanced in MS Office, Word, Excel, internet software, email, and calendar apps.
  • Ability to handle multiple tasks in a work environment where rapidly changing priorities can be the rule rather than the exception.
  • Outstanding attention to detail and accuracy.
  • Self-starter who has passion for learning all aspects of the business. Driven to excel, grow and is willing to step outside of the job description.
  • Excellent verbal and written communication skills with special attention to spelling and grammar.
  • Superior organization and time management skills.
  • Ability to function effectively as a member of a team with willingness to assist with special tasks and projects as assigned.

The salary range for this position is $23.50 - $31.10 hourly.
