The Administrative Assistant will provide general administrative, budgetary support, and program and event support to all components of the Center for Teaching and Learning. They would also assists in the execution of CTL activities.
Duties and Responsibilities
1. Serve as the point person for budget management, tracking revenue and expenses, prepares contracts using provided templates, (speaker, membership, printer, etc.), unit purchasing, and coordinating budget information for various stakeholders within the department. This includes the end-of-year reports, budget building with department leadership, and monthly budget reconciliation. Budgets tracked by this employee include those of the Center for Teaching and Learning as a whole, including budgets related to Educational Technology within the CTL.
2. Manage the scheduling and maintenance of the CTL learning and seminar spaces. Draft annual and monthly calendars, track reservations and appointments for the department seminar rooms, and set up/break down seminars and events.
3. Act as the event coordinator for workshops, meetings and special events including all logistics. This includes making decisions for appropriate space, catering, supplies, stocking goods, and tracking and ordering all supplies for all departmental stakeholders as needed.
4. First point of contact for walk-in clients coming to the Center for Teaching and Learning seeking services and/or information for the various units within the CTL. Responds to phone calls and emails in a timely fashion, answers questions as appropriate, and makes referrals as needed.
5. Manage communication with the wider campus on a regular (weekly) basis to promote events. Requires strong graphic design elements for all programming and events. Maintains strong social media presence for CTL in consistent and timely basis with information received from Sr. Director and Director.
6. Helps management with tracking data for workshops, inquiries, attendance, workshop evaluations.
7. Provide technical support for all faculty programming to provide mixed-modality delivery.
8. Performs all other duties and responsibilities as assigned or directed by the supervisor.
Required Knowledge, Skills and Abilities
High school diploma or GED
4 or more years of related experience.
Excellent oral and written communication skills, and interpersonal skills
Demonstrated attention to detail, professional attitude, and ability to maintain confidentiality.
Preferred Knowledge, Skills and Abilities
Experience in financial, budgetary or accounts payable processes and/or systems preferred.
