The Role
Due to our successful growth and opening of our Digital Hub in Seattle, we are adding an Administrative Assistant opportunity at Moderna located in Seattle. This individual will provide overall support to Digital Leadership team members in Seattle and also provide support to leaders when visiting Seattle, in partnership with the Digital Executive Assistant and Sr. Admin supporting Digital, the WeWork team on site and office coordinator.
The position requires extensive coordination and communication within Moderna and external parties, working with information of a confidential nature. A high degree of initiative, self-direction and collaboration is required. The role requires a high degree of tact and discretion, highly professional and corporate presence, self-confidence, flexibility, and adaptability. Ability to effectively work in a fast-paced changing corporate environment is critical to success in the position.
Here’s What You’ll Do
Administration Support:
Support and assist Digital leaders in Seattle with general administration tasks and requests
Set up and maintain various corporate subscriptions
Proactively manage calendars and provide scheduling support for assigned Digital Leaders
Coordinate internal/external meetings with efficiency and detail; communicating clearly to explain conflicts and need to re-prioritize
Manage travel arrangements for Digital Leaders (domestic/international)
Manage standing meetings and off sites with leaders’ teams as required
Manage all aspects of conference attendance – registration, travel, pre-attendance prep meetings.
Prepare expense reports for assigned Digital Leaders and approve online expense, time off submittals and Workday actions as assigned
Provided site support as needed in Seattle (events, coordination of meetings, administrative tasks, etc.)
Meetings and Events Coordination:
Organize and/or support the organization with general meetings, townhalls, offsites etc.
Book conference rooms and available offices for meetings (assist video call preparation and IT devices fully functioning)
Organize catering for business meetings
Additional duties as may be assigned from time to time
Here’s What You’ll Need (Minimum Qualifications)
5+ years of administrative experience, supporting VP level leaders in a fast-paced environment

Team player and collaborative approach
Customer minded and service orientated
Digital first mindset, affinity, particularly with Office and AV equipment
Intermediate to advanced skills with MS Office 365 applications
Excellent verbal and written communication skills
Ability to establish and maintain effective working relationships with co-workers, managers, and clients.
High degree of personal drive and agility

Under Washington State law, Moderna is required to provide a reasonable estimate of the salary range for the jobs covered by this description. Base compensation for these positions in Washington State range from $72,500 to $116,000. Actual salary determinations will take into account factors such as work location, prior education and experience, job-related knowledge, and demonstrated skills. Compensation decisions are made on the facts and circumstances of each case.
